Job Description


Position Summary:

Reports to the Central Region Director, the incumbent is responsible for creating and maintaining a professional atmosphere in appearance, administrative processes and interpersonal exchanges. The Administrative Assistant provides support to the Central Region Director to include: scheduling, tracking, reporting information, analyzing data, and generating reports (Powerpoint, Excel, and Word).  The incumbent will be responsible for assembling, consolidating, preparing, distributing and archiving special and routine reports required by the medical center and regulatory agencies.


Duties & Responsibilities:

Provide support to the Central Region Director by successfully accomplishing all task listed below.

Responsible for establishing and maintaining an administrative office suite that is dignified, well organized, friendly, efficient, and mutually supportive to all stakeholders. 
Prepares schedules, calendars, handouts, memos, agendas, and minutes and assures that all correspondence is proofed for content and grammatical accuracy before being signed by the Central Region Director.
Responsible for creating and maintaining a professional atmosphere in interactions: on telephone, meetings, greeting, and in assisting members of the Practice Administration, medical staff, executive staff, management staff, and employees as needed.  
Responsible for gathering, assembling, and finalizing information needed to prepare reports for the Central Region Director. 
Supports all members of the executive suite and is responsible for determining priorities and for coordinating with members of the executive staff when conflict occurs.
Responsible for the proper and timely distribution of reports and documents and for archiving them where they can be retrieved by either the incumbent and/or other administrative staff.
Responsible for taking accurate notes in assigned meetings and transposing them in a timely and appropriate fashion into VCC format for review by appropriate members of the Practice Administration.
Responsible for setting-up the meeting room(s) in which the Central Region Director is presenting or hosting. If electronic, meal, or other support is required incumbent shall coordinate as needed to complete the set-up.
Ensures that the administrative suite it is clean, secured, and stocked with supplies.
Receives and sorts mail for the Practice Administration routing to appropriate individuals. 
Participates in the department based Quality Improvement process.

Practices, endorses and provides customer service skills to patients, visitors, physicians, volunteers and staff.

Other duties as assigned.

Job Requirements


Qualifications & Specifications:

Education – College/University credit hours preferred, High School Diploma or GED equivalent required.

Licenses & Certifications – None required
Experience – Minimum of five years of administrative experience including one year with a health care organization.
Essential Skills -            Knowledge of organizational policies, procedures and systems.  Knowledge of office management techniques and practices.  Knowledge of computer systems, programs and applications.  Knowledge of research methods and procedures sufficient to compile data and prepare reports.  Skilled in the operation of office equipment.  Ability to establish priorities and coordinate work activities.
Essential Physical Requirements – Requires sitting and standing associated with a normal office environment.
Working Conditions – Normal office environment.  Occasional evening and weekend work.
