The Home Health Administrative Assistant is responsible for preparing physicians orders / 485’s / F2F documents for physician offices. Assists with checking the signed documents back in once returned from physician office. Responsible for field staff payroll-checking in all documentation, calculating payroll and submitting in timely manner on assigned days. Reviewing admit paperwork for accuracy. Files paperwork in patient’s charts, breaks down patient’s charts, scans all documentation into EMR into patient’s records on a daily basis. Fills out STEAR forms and faxes to the appropriate agency. Faxes missed visit notes, communication notes, and other clinical documentation when needed.

Primary Responsibilities:

  • Reviews paperwork turned in by field staff for accuracy

  • Prepares all physician orders and plan of treatments for liaison to take to physician’s office for signature
  • Runs outstanding list of physician orders / pot's for manager weekly
  • Assist with follow up on orders / pot's not returned within 30 days
  • Checks in all paperwork from field staff on a daily basis
  • Files or scans notes into clinical records (EMR) on a daily basis
  • Faxes all communication notes, missed visits, case conferences to physician's daily
  • Contacts field staff for corrections on paperwork turned in when needed
  • Maintains all physician orders, service notes from all disciplines, lab reports, and other clinical documentation in an organized manner
  • Calculates visits / mileage for all field staff with payroll
  • Fills out STEAR form for all new patients - faxes to appropriate agency
  • Assist with phone calls in office
  • Communicates messages for CTM regarding physician orders and patients’ concerns
  • Performs additional duties as assigned by manager
  • Communicates with CTM's in reference to concerns with field staff and outstanding paperwork                                                                                                                                                                      
  • Attends all required in-service programs to maintain comprehensive home care knowledge base

  • Demonstrates effective time management skills by completing assignments within projected time frames

  • Expresses verbal and written communication in a clear, positive, and cooperative manner

  • Demonstrates personal responsibility with regard to attendance and punctuality

  • Promotes Agency philosophy, mission statement, and administrative policies

  • Maintains privacy and confidentiality with regard to all patient, staff and Agency information
