Job Details

**Role Summary**

+ Provides administrative support to the Scientific and Laboratory Services (SLS) team. The position is located in Parsippany, NJ and reports to the Director of Stability.

+ Is responsible for managing purchase requisitions, vendor invoices, booking travel, completing expense reports, maintenance requests, arranging meetings and special functions.

+ Supports the documentation, coordination and filing of technical documents required by SLS colleagues.

+ Supports projects/activities within SLS.

**Job Description**

+ Manages select SLS colleagues' Outlook calendar in alignment with their priorities as needed. Handles confidential information with discretion.

+ Coordinates appointments and meeting logistics including ensuring meeting rooms and catering are in place and coordinates meeting preparations. Proactively resolves meeting scheduling and meeting conflicts in a professional and respectful manner.

+ Processes purchase requisitions using the Ariba system, receives purchased goods and works closely with accounts payable to ensure invoices are paid

+ Coordinates and maintains schedules, travel arrangements and expense reports using the Concur system.

+ Works with other Administrative Staff in sharing work and making sure that responsible functions have administrative coverage during regular business hours and other times, as needed. Responsibilities may cross functional team lines and location

+ Efficiently manages travel arrangements ensuring scheduling of transportation, hotel, car, etc, prepares detailed itineraries, processes expenses through PT&E. Maintains receipts and records.

+ Manages documents and maintains an inventory of electronic and hard copy files allowing for easy access and logical organization.

+ Creates and distributes logbooks for the laboratories

+ Completes special projects as assigned

+ Uses sound judgment to identify and resolve issues

**Additional Job Description**

+ High School Diploma or higher required.

+ 1-3 years of clerical or administrative experience that demonstrates an ability to carry out all office functions proficiently is preferred.

+ Individual must possess excellent communication skills with an ability to respond with professionalism in verbal as well as written communications.

+ Individual must be independent, pro-active, self-motivated with strong organizational skills and possess the ability to work under pressure, manage priorities, and be productive when working independently with minimal supervision.

+ Must have attention to detail and accuracy, along with solid verbal and mathematical skills and proficiency in Microsoft Outlook, Word, Excel and PowerPoint
