Description **ROLE SUMMARY**



The candidate will be responsible for the coordination of the day-to-day activities for the Vice President and Head of Clinical Development Quality and partner with the CDQ Business Manager. The candidate will be responsible for calendar management, meeting coordination, meeting preparation (including assembly of agendas and PowerPoint presentations) and ensure appropriate distribution of meeting materials. The candidate will be expected to partner with members of the office of the Global Product Development Administrative Team in a professional and team oriented approach.



The candidate will interface regularly with department members, as well as, colleagues from related functions and will be expected to interact appropriately with senior leaders, administrative personnel across the Pfizer organization, vendors and all visitors. The role will require the candidate to learn and execute internal procedures of Pfizer, ensuring 100% adherence to compliance regulations. Exemplary organizational skills, strong computer and internet skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff are critical for success in this role.



**ROLE RESPONSIBILITIES**



+ Requires excellent command of English language, grammar and basic applied business math

+ Demonstrates working knowledge and skills regarding general administrative functions and performs these in support of supervisor/staff (telephone, e-mail etiquette, MS Office, internet, Ariba, Cross site access, Concur, supply/equipment ordering)

+ Recognized as having a full administrative knowledge base and has accountability for taking action, following through and recommending change when needed

+ Knowledge sharing occurs beyond own work group

+ Maintain calendars; make travel arrangements and schedule meetings, teleconferences, and videoconferences for senior management and staff

+ Organizes visits (agenda, reservations, logistics)

+ Order/maintain/operate routine office equipment (photocopiers/fax/audiovisual)

+ Knows and demonstrates Pfizer Values

+ Line Management of CDQ Administrative Team

+ Partner with CDQ Business Manager on key initiatives and meetings

+ May advise staff on routine administrative procedures and processes

+ Creates, composes and edits non-standard written material and responds to correspondence, including email. Creates and formats presentations, spreadsheets, and key documents

+ Understands and follows all Pfizer policies (i.e. travel, purchasing, leave, or know where to get answers)

+ Assist with recruiting including speaking with candidates and serving as a POC, interview arrangements (travel, seminar set-up, expense re-imbursement), family visits, coordinates with HR to arrange for relocation assistance

+ May be involved in tracking Activity Tracking compliance and running reports; tracking travel approval, travel budgets

+ Maintain departmental Insight and/or SharePoint folders and distribution lists

+ Takes personal responsibility for quality of work that impacts supervisor/department/line.

+ Interacts with line/zone colleagues in a constructive, professional way to process requests and deliver a wide level of service

+ Builds a good working relationship with colleagues at all levels in all departments/lines

+ Understands how the work in their department impacts others. Takes initiative to learn activities of other departments

+ Has working knowledge and skills for position needed within assigned area

+ Has knowledge of how related areas impact assigned areas

+ Ability to complete routine assignments independently; refers only new or unusual problems to supervisor, and work is only reviewed periodically for soundness

+ Works under general supervision. Responsible for independent work output with supervisory direction and review. Consults with other colleagues

+ Deviations from standard procedures are referred to supervisor

+ Is aware of / can anticipate consequences of own actions

+ Other responsibilities/projects based on group needs



**BASIC QUALIFICATIONS**



High School diploma required; Associates Degree preferred

A minimum of 7 years administrative experience required
