Job Description

Strives to make customer service top priority in all interactions with parents, referral sources, payers, visitors, etc. Demonstrates exceptional customer service at all times; demonstrates exceptional teamwork (e.g. answers co-workers calls w/o hesitation, volunteers to assist w/o being asked, etc.). Actively participates in department meetings, training sessions, and activities; is proactive in expressing ideas for improving the job and the department. Actively engages in ongoing improvement of communication skills; i.e. active listening, dialogue, tone and volume of voice, controlling calls, program knowledge, etc. Thoroughly completes TRIMS form with all pertinent information including clinical necessity, accurate family/sponsor information, specific referrals sources, and funding information. Handles and/or follows up on 30% of all telephone inquiries, and coordinated 30% of all admissions.  Demonstrates consistent results on all types of calls, including private, insurance, court/agency, and Medicaid. Significantly contributes to the improvement of the marketing/admissions team.  Demonstrates active participation in problem solving, meetings, conference calls, and day-to-day interaction with the entire department staff.  Meets with visiting referring professionals, as requested. Personally responds to direct requests or questions from patients or other customers in a timely manner. Listens carefully to patients and customers, probing to clarify their specific need or request.

Job Requirements

Previous experience in  an admissions or marketing department of a residential school or mental health facility helpful; good telephone and oral communication skills; legible handwriting; maintain information in the highest confidence; meet deadlines; good organization and priority setting skills; preferred basic data entry skills with some computer experience; knowledge of computer operations; strong customer service skills; empathy; attention to detail; knowledge and understanding of the programs and policies of Provo Canyon School; aptitudes must include excellent verbal and written communication skills, and the ability to deal with the public, parents, students, and staff in a professional and diplomatic manner.
