Job Description

Hill Crest Behavioral Health Services is the only freestanding, full-service psychiatric hospital in the Birmingham Area.  It draws on a rich tradition while staying on the cutting edge of new developments in treating psychiatric illness and enhancing mental health.  We treat mental illness, emotional problems, and adults with chemical dependency.

The Assessment Coordinator is responsible for Suicide Risk Screening and Assessments and receiving Helpline and referral calls. Collects data for Clinical Assessments.  Obtains initial authorization from the insurance companies.  Completes the admission process.  Communicates with the Business Office regarding financial issues.  Collects Intake data to be given to Physician for disposition.


  • Receives Helpline/referral calls; relays information for follow-up in a timely manner
  • Informs callers of programs available at Hill Crest Behavioral Health
  • Follows up on Helpline calls, missed appointments, and waiting list
  • Offers and schedules onsite assessments
  • Maintains phone log
  • Obtains sufficient information for verification of insurance benefits
  • Collects clinical data to utilize in the assessment tools
  • Communicates with appropriate MD following recommendations for dispositions
  • Coordinates admission process with nursing personnel and unit staff
  • Enters information into the computer with 95% accuracy.
  • Enters admissions/ transfers/discharges into MS4 program with 95% accuracy
  • Completes the admission process in less than 2 hours.
  • Participates in weekly on call rotation schedule. This would include taking hospital transfer calls from home as needed.
  • Consistently completes pages 1 – 6 of assessment correctly 95% of the time using information gained from the assessment and referral sources.
  • Distributes Admission forms to appropriate departments with 95% accuracy
  • Able to assist with census reconciliation as needed
  • Assist in bed control as needed by entering transfers/discharges in computer with 95% accuracy
  • Work with insurance companies to ensure patients’ inpatient care has been authorized (precerted)
  • Maintain working knowledge of the DSM V/ICD 10 diagnosis and codes.
  • Complete safety check during the admission process
  • Contact petitioners as needed to obtain clinical/medical information
  • Assist patient/family in obtaining accurate insurance information as needed
  • Contact various referral sources during low census regarding bed availability
  • Respond to web inquiries as needed regarding services available at Hill Crest
  • Understand and demonstrate knowledge of Treatment of care between acute, residential and group homes.
  • Complete vital signs, perform Q15 minute checks, and and High Risk Notification Form on patients at time admission..
Job Requirements


  • MSW, or MS (in a mental health discipline) required
  • Effective leadership skills
  • Three (3) years experience in Intake, psychiatric setting (outpatient or inpatient), and crisis intervention (Preferred)
  • Ability to advocate for patients during precertification with insurance company as needed.
  • Demonstrates the ability to facilitate admission process
  • Ability to establish rapport quickly via telephone or in person
  • Must be computer literate and have excellent clerical skills
  • Demonstrates effective leadership skills
  • Experience in insurance benefits verification and admission precertification preferred
  • Familiar with medical and psychiatric terminology/psychotropic medications preferred
  • PCI and CPI certification preferred
