 Foundations Recovery Network is currently seeking a Conference Meeting Manager, to provide leadership for the daily coordination of our annual national and regional conferences and workshops. The successful candidate will be an individual who has extensive experience managing logistics; planning with venues, vendors, and staff; and building and maintaining positive relationships with our speakers, sponsors, attendees, and employees.

If so, then you may be the perfect addition to our team!  This position is located at Foundations Recovery Network’s/UHS office's in Brentwood, TN.

Essential Duties and Responsibilities

Supervises and manages conference staff
Assists in long term conference planning
Works with speakers to ensure presentations are eligible for continuing education units
Assists in maintaining centralized databases of attendees, sponsors, and speakers in our customer relationship management (CRM) system
Maintains purchased mailing lists and makes sure the length of authorized use is not exceeded
Addresses inquiries as necessary from sponsors, exhibitors, and others related to conference logistics and information
Provides creative input for the development of branded print collaterals including brochures, postcards, invites, and emails

Assists in planning exhibit layout
Plans and coordinates with marketing department around communications for the conferences including, but not limited to, email marketing, print collateral, targeted advertisement, website updates, and social media contact, making sure all efforts can be tracked for ROI purposes
Maintains a detailed project plan and/or checklist for the conferences, manages shipping to and from conference locations and local storage unit
Facilitates between internal departments and external contractors to complete tasks
Understands and negotiates convention center, hotel, and resort contracts and addendums
Reviews and verifies accuracy of final conference BEOs, AV, and other final bills
Maintains and stays within budget parameters for each conference
Secures AV needs for FRN and speakers and sponsors
Actively resolves any customer issues, escalating to proper personnel if necessary
Manages calls for speakers/presentations, speaker scheduling, and speaker travel coordination
Assists in facility selection review

Knowledge, Skills, and Abilities

Strive for CMP designation, maintain membership in Meeting Professionals International and/or PCMA.
Must have an understanding of marketing concepts, especially related to social media and search engine marketing
Ability to clearly and succinctly communicate both verbally and in writing
Must be able to orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently; arranges information and files in a useful manner

A current, valid driver’s license is required for frequent business travel
Minimum 10% overnight travel required

Education and Experience

Bachelor’s degree in marketing, public relations, business, communications, planning, or equivalent is required
Minimum of 2 years’ experience in communications and marketing, preferably in a behavioral health organization
Minimum 1 year experience with marketing communications including writing, editing, and design
