Unit Description

Sodexo has a new opening for an Analyst - Facilities Sub-Contract Management. 


The purpose of this position is to provide subcontract administration support to Sodexo Segments for FM subcontractors. Responsibilities include but are not limited to successfully onboarding vendors meeting Supply Management, Risk Management, and Legal’s requirements;  maintain the satisfactory compliance state with the vendor throughout the lifecycle of the relationship; provide contracts administration support to segments; participate in tasks and projects relating to the development and improvement of Sodexo’s subcontract management process.

The Contract Data Analyst will work closely with operational teams, vendors, and service operations to ensure that subcontract management objectives, policies and procedures are widely communicated, implemented and enforced.

  • Manage compliance state (COI, Agreements, Safety, Onboarding Process) of FM subcontractors using Sodexo’s subcontract mgmt platform tool
  • Edit/Update Subcontract Service Agreement and Work Release Templates with vendor and unit information specific to the scope of work to be performed by the vendor
  • Review Certificates of Insurance provided by vendors to ensure they are compliant to Sodexo’s Risk Management Framework and Client Requirements.
  • Perform semi-monthly report analysis of subcontract compliance vendor reports by units/accounts
  • Lead and/or assist vendor onboarding process for large/significant accounts as needed
  • Identify risks in supply chain, report and mitigate via formal risk management.
  • Provide support to the Client and Sodexo teams ensuring they have accurate data to make informed supplier, contractor and performance based decisions.
  • Assist in the development and maintenance of tools/processes which support the Sodexo Subcontractor Management process
  • Assist in the investigation, escalation to appropriate Sodexo stakeholders, and review of vendor modifications made to Sodexo’s template Agreements
  • Develop thorough understanding of subcontract management tools and processes and lead training initiatives delivered to segments and operational stakeholders
  • Ensure Sodexo’s commitment to ethical principles and sustainable development are achieved and maintained.
  • Ensure compliance with all Sodexo policies, procedures and directives, including OH&S, Risk & Environment as well as Federal and State legislative requirements.
  • Develop and implement effective initiatives that contribute to the Groups overall subcontractor management strategy
  • Working with Operational and Service Operations teams to ensure scope of work to be performed by vendor and risk/legal management requirements are aligned with Sodexo’s and Client’s policies.
  • Driving continuous improvement through understanding of products, market innovation and key stakeholder requirements.
  • Assist as needed to develop, implement and continue to monitor all contractor performance operational KPI’s to assist the operations and account managers with the evaluation of service delivery.
  • Monthly reporting as required – internal, external and Group reporting.

Job competencies (knowledge, skills and experience needed to perform this role)

  • Minimum of 2 year’s experience in contracts administration
  • Demonstrated proficiency of Microsoft Word, Excel, and Powerpoint
  • Customer focused with excellent communication, attention to detail, and organizational skills teamed with the ability to understand key stakeholder requirements and build strong relationships.
  • Demonstrate experience in change management and implementing business process.
  • Ability to communicate at all levels with good written, verbal and reporting skills.
  • Ability to resolve issues with a sense of urgency.
  • Self motivated, self confident, honest and flexible, professional work ethic.
  • Ability to work autonomously and establish priorities.

Desirable (additional experience, abilities or qualifications)

Experience using software tools: Quickbase, Trade Interchange, Salesforce Management Software Maximo, Salesforce, Strategic Sourcing (Bid-Tender, RFP, Negotiation, Vendor Management)


Position Summary

Maintains contract administration database. Responsible for interpreting contract provisions and establishing appropriate rules in database. Primary liaison with department finance of new and modified contracts. Develops and maintains library of contracts, pricing changes, and correspondences. Provides analytical support to aid in monitoring existing contract and development of new contracts.

Qualifications & Requirements

Basic Education Requirement - Associate's Degree 

Basic Functional Experience - 1 year of experience in professional work environment
