Job Description


This position is responsible for numerous duties that include but are not limited to the following: supply management of office & nursing supplies throughout the facility, management of facility’s medical equipment, management of facility’s office equipment & machinery, design & distribution of various forms used at the facility, provide supportive and liaison services for IT services needed at the facility, management of patient belongings left at facility and investigation of reports of missing/damaged patient property, routine and back-up coverage for facility receptionist, and back-up coverage for patient transportation as needed.  This position will also work on special projects and assignments as assigned. Performs other related duties as assigned by the CFO, Director of Nursing, and/or other facility department heads. 

  1. Central Supply Management Stock units with office/medical supplies weekly and as needed; prepare purchase requisitions and place orders to maintain established inventories within budgetary and policy guidelines; monitor for and eliminate expired supplies throughout facility; coordinate with supply vendors and sales reps to negotiate product pricing and options; maintain organized Central Supply room; complete annual supply asset inventory.

  2. Medical Equipment Management – Maintain updated inventory list of all medical equipment in facility; ensure all medical equipment receives required routine electrical safety & quality assurance testing per facility policy; coordinate with outside vendors to have equipment serviced/repaired as needed; coordinate with CFO and vendors for purchase of additional equipment as needed.

  3. Office Equipment Management – Maintain & service office equipment (copiers, faxes, printers, phones, etc.) within facility; ensure related supplies are readily available/replenished; coordinate with vendors to order supplies and schedule timely maintenance/repairs for equipment as needed.

  4. Forms control – work with all facility departments to design/revise various forms and documents used throughout the facility; print and distribute forms for use in the facility; coordinate with outside print vendors to order supply of forms as needed to maintain appropriate inventory in facility; assemble & distribute admission chart packets for all hospital units.

  5. IT Services Support/Liaison – Provide initial IT support and troubleshooting of IT-related issues/problems to determine required interventions to resolve and refer to appropriate support level (facility IT staff or corporate Help Desk) if unable to personally resolve issue.

  6. Patient Belongings Management – Appropriately handle patient belongings that are left behind at facility to determine ownership of items and determine if items can be returned to owner; communicate & coordinate with previous patients to attempt to return forgotten belongings as appropriate; complete investigations into reports of missing or damaged patient belongings, including review of surveillance camera footage, searching of facility for missing items, and interviewing of staff involved; coordinate with Program Managers and Risk Manager as needed to determine appropriate steps to resolve reports of missing/damage patient belongings.

  7. Receptionist Back-up/Break coverage – Provide support and relief to facility receptionist as needed for break/emergency coverage to answer & direct phone calls, greet and direct visitors and persons presenting for evaluation/admission to the facility.

  8. Back-up Transportation of Patients – Provide back-up transportation services per facility policy using facility transport vehicles when PHP or other approved transport staff are unable to assist with needed patient transports.

  9. Demonstrate organizational skills to include managing multiple priorities and attention to detail.

  10. Demonstrate professional demeanor indicated through high degree of self-direction and flexibility.

  11. Accept constructive criticism and feedback from staff and integrate suggestions in effective & creative ways to improve processes within facility.


Job Requirements
