Job Details

Mission of the Customer Events & Engagement team is to provide excellence in Customer Events & Engagement Services through successful delivery and/ or compliance support to internal meetings and congresses (managed by the agency) in a timely, effective, compliant way, and fully aligned with the anticipated budgets and Business Units goals.

This position is responsible for the management and/ or support of the local market Customer Engagement & Events (CE&E) (Internal colleagues meetings, external attendee engagements, congresses). This includes management of the event logistics, ensuring the event compliance, tracking and reporting, financials, client & vendor interactions.

**Core Responsibilities:**

+ End-to-end management/ support of CE&E activities (including compliance, logistics, payments, reporting, etc.) . This includes internal/external meetings, speaker programs and congress support as appropriate for the local market practice

+ Use data sources to inform stakeholders and manage suppliers: activity levels, spend, issue logs. Responsible for ensuring the accuracy and management of reports

+ Ensures compliance processes and global policies are followed at the local market level

+ Support compliance exercices and data extractions & validations (data required for fiscal slips and public disclosure)

+ Interface with other enabling departments, providing subject matter expertise for initiatives

+ Responsible for issue management and resolution in local market

+ Responsible for managing local suppliers

+ Follow up on local metrics and cost savings

+ Shares and implements best practices & EU projects in the CE&E area

**Organizational structure:**

Reports to: Strategic Commercial Operations Lead for Belgium & Luxembourg

Key Interactions: Marketeers, Field Force reps & managers, other StraCO teams, Procurement, Event Agency, Key Hotel Groups, Travel Company, Finance, legal, Compliance, Business Technology

**Education and Experience:**

+ Bachelor in marketing, office management, accounting, logistics, or other relevant degree.

+ Pharma experience is a plus

+ Experience in meeting management is a plus

+ Demonstrated ability to understand business and customer needs

+ Ability to manage multiple stakeholders and multiple tasks simultaneously and to prioritize work

+ Demonstrated initiative and creativity

+ Experience/ability to work in a matrix structure with virtual line management

+ Ability to manage vendors to ensure all logistics of a meeting are flawlessly executed

+ Strong interpersonal skills are required, as well as excellent verbal communication and presentation skills

+ Bilingual French/ Dutch & good knowledge of English

**Our Offer**

This position is a temporary contract of 2 years.
