The incumbent in this position has the sole responsibility of managing and coordinating all events/meetings held in the Pru Tower for PGIM (Prudential Global Investment Management) under the direction of the VP, Executive Events & Conference Center Management. This position requires both a level of sophistication and an unflappable attitude which encompass dialogue with senior management as well as direction to facilities support crews. The highest level of expertise and discretion are requisite. They will coordinate all aspects (venue, menu, entertainment/activities, hotel accommodations, budget, travel, parking, special set up, etc.) of various high-profile executive events. These events are held onsite at Pru Tower and off-site at locations across the country and around the world; ability to travel extensively is a given. This position also partners across the business group to identify efficiencies, while developing and managing preferred external vendor relationships. Must be a thought leader, able to establish standard event operating procedures and processes, facilitate cross-business scheduling, recommend incentive conference sites and venues off property, create conference & meeting budgets, and negotiate and approve vendor contracts. Must be an effective communicator with an ownership mentality, holding high ethical standards taking personal accountability for all events. Ensures meetings are delivered within regulatory guidelines and partners with key business liaisons.

  • Minimum of 10 years’ experience in the Event Planning & Conference Services field
  • Excellent analytical ability to quickly gather facts, perform root cause analysis, draw conclusions and recommend appropriate course of action
  • Strong relationship management skills with ability to partner and build professional relationships in a cross-functional environment
  • Ability to build consensus and act as an independent arbiter to achieve sourcing outcomes that meet business requirements without sacrificing service or increasing risk/cost
  • Experience negotiating, reviewing and evaluating vendor agreements
  • Strong organizational skills including the ability to work on multiple projects simultaneously and bring them to resolution and to adapt to an ever-changing environment
  • Superior oral and written communication and interpersonal skills for interaction with team
  • Creative individual with ability to integrate originality and imagination in recommending event themes and incorporating personal touch
  • Familiarity with Investment Management organizations is a plus
  • Proficient in MS Excel, MS Word and Power Point
  • ETouches experience preferred (not required)
  • Professional designation (CMP) preferred (not required)
