**ROLE SUMMARY**



In addition to typical administrative functions the Engineering Services Administrative Associate performs all tasks required to maintain Contract employees in operational status with Pfizer safety, security, procurement and training requirements. This will require coordination with the various Pfizer departments and the contractors in order to satisfy continuous compliance. This position will also be the resource to work with Pfizer representatives, contractors and accounts payable to resolve payment issues. This person will track capital project and coordinate invoicing and receiving to assure monthly spend budgets are achieved.







**ROLE RESPONSIBILITIES**



This position provides assistance for the Project Engineering department and support for all departments within Engineering Services. This includes project engineering, instrumentation, facilities & HVAC.



In addition to conventional administrative duties the position will be responsible for the following;







+ Managing contract personnel and regular employee on-boarding, off-boarding, training compliance and tracking status



+ Manage Departmental purchase orders and Accounts Payable issue resolution.



+ Maintain project spending tracking and reporting



+ Work effectively with other departments and contract firms to resolve training, payment purchasing and Contract Employee issues



+ Provide administrative support to other Engineering Departments as needed.



+ Provide assistance to complete proper documentation required for Change Control.



+ Assist engineers in development and deployment of project required documentation such as parts set-up, SOP updates, turn over packages etc.



+ Maintain project engineering team Bulletin Boards.



+ Assist with payment of annual property tax for equipment rentals



+ Assist with travel arrangements, scheduling special meetings, luncheons and gatherings for the Engineering departments.



+ Assist project engineers with ordering and shipping commodities and samples for equipment testing.







**QUALIFICATIONS**







+ Associate degree in business or engineering discipline preferred



+ 3-5 years progressive office or administrative experience in general clerical or engineering environment preferred.



+ Demonstrated proficiency in Microsoft Office platform (minimum Excel, Word, PowerPoint, Visio)



+ Ability to comprehend and respond to verbal and written instructions/plant documents.



+ Ability to work independently or in groups effectively.



+ Strong problem-solving, organization and interpersonal skills.



+ Strong verbal and written communication skills.



+ Ensuring adherence to all plant safety rules in area of responsibility.



+ Self-motivated, professional attitude and ability to work with Pfizer colleagues and vendors to facilitate contract resolution



+ Ability to effectively handle several tasks with tight deadlines simultaneously, and push things to completion.







**NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS**



M-F, 8hours
