Harbor Point Behavioral Health Center offers hope and healing for youth ages 7 to 18 at the time of admission with several psychiatric diagnoses and/or developmental disabilities. Located in Portsmouth, VA, Harbor Point provides intensive, residential treatment to youth in a comfortable setting that is conducive to healing. Our facility specializes in treating children and adolescents with depression, bipolar, ADHD, and other mental health issues. We also have specific treatment programs for those with intellectual disabilities or those with self-injurious behavior. Harbor Point and its programs are fully accredited by The Joint Commission and the Virginia Association of Independent Specialized Educational Facilities. We are licensed by The Virginia Department of Behavioral Health and Developmental Services and the Virginia Department of Education. We are a TRICARE®-approved and certified facility.

Harbor Point Behavioral Health Center currently has a Full-time Executive Assistant position available.

The Executive Assistant performs a full range of secretarial and administrative duties for the Chief Executive Officer ensuring overall efficiency and ease of operation.

Job Duties (not an inclusive list):

  1. Supports Chief Executive Officer by coordinating and maintaining schedule, managing suspense file and initiating action as required, managing flow of correspondence in a timely fashion, screening calls as appropriate.
  2. Exercises judgment and decision making skills in Chief Executive Officer’s absence deciding when to contact or handle autonomously.
  3. Exhibits advanced verbal and written communication skills. Acts as liaison when receiving and communicating information to and from the CEO in a concise, timely manner.
  4. Maintains the confidential nature of all client and facility related activities.
  5. Maintain facility Policies and Procedures, ensuring revised policies are distributed as appropriate.
  6. Serves as Medical Staff Coordinator. Support Code of Conduct, Corporate Compliance, and HIPAA Privacy Programs as evidenced by adhering to the components of the programs. Prepares and maintains all Applications for Appointment and Reappointment.
  7. Serves as facility’s Contract Administrator. Processes and maintains contracts completing CLGA’s and CAM’s as appropriate.
  8. Support Code of Conduct, Corporate Compliance, and HIPAA Privacy Programs as evidenced by adhering to the components of the programs.


Job Requirements

Qualifications: Ability to communicate in a concise and effective manner.  Advanced composition, organizational, time management and inter/intrapersonal skills required.  Advanced  knowledge of Microsoft Office (Word, Excel, Powerpoint). Ability to use copier, fax, multi-phone,  computer, and required software.  Demonstrated ability to type 60-65 wpm with minimal errors. An individual must be able to perform each essential function of the job satisfactorily.  Reasonable accommodations may be made to enable individuals with disabilities, who are otherwise qualified, to perform the essential functions.

Education: High school diploma or equivalent.  Some college preparation or degree preferred.

Experience:  Four (4) or more years in administrative clerical/administrative positions.  One (1) year or more supervisory experience.

Physical Requirements: Must be able to package and lift 25 pounds of office material.  Ninety percent (90%) of time spent sitting.  May be required to climb stairs.  Travel for administrative purposes may be required.  Must possess valid driver’s license.  Must have visual and audio abilities to perform all job tasks.  This includes the ability of extended hours working at a computer.
