Description & Responsibilities:


This associate provides administrative support for PGIM REF Law Dallas which supports PGIM REF’s loan servicing subsidiary, Prudential Asset Resources, Inc. (“PAR”), reporting directly to PAR’s chief legal officer. 


This associate provides administrative support for PGIM REF Law Dallas as well as coordinating administrative matters with PAR and PGIM REF/PIM in Newark.


Daily Responsibilities

Coordinate the provision of reporting requirements to Prudential Newark including, without limitation, attendance, records retention, law-firm accruals 

Oversee and maintain file system

Assist PAR in the input and maintenance of the PSA Abstract Module

Image and load PSAs and other servicing agreements, pleadings, documents and other legal items into LoanConnect

Organize corporate minutes and agreements into binders

Drafting and securing execution of minutes, resolutions, portfolio assignment documents, certifications, Delegations of Authority & Bank Authority Matrices; circulate and file as appropriate 

Process legal fees and other invoices; track and post third-party billed matters; report monthly to PAR Executive and Accounting regarding same

Assist in the processing of Retentions of Outside Counsel, Waivers of Conflicts of Interest and similar matters

Review litigation & lien notices to identify lender/Prudential interest and liase with asset management and legal department regarding same

Undertake external inquiries with law firms for documents and other information

Assist in the preparation (Including initial drafting) and circulation of form documents; oversee and maintain legal forms and letters for PAR business associates

Preparation of PowerPoint presentation materials

Assist the associates in Finance and Accounting with respect to bank account issues, certifications and operational documentation 

Respond to internal inquiries regarding the location of servicing agreements, DOAs, Bank Authority Matrices, completion of form requests, etc. 

Assist in travel and conference arrangements and expense reimbursements 

Research information on GEMS and other Prudential systems

Provide administrative support including typing, filing, archiving of files, and other clerical assistance including periodic reception desk duty and assisting other administrative assistants at PAR

The successful candidate will have at least five years of executive assistant experience supporting senior level executives in a corporate law department or law firm.

The candidate should possess a positive attitude, strong interpersonal skills, initiative, flexibility, dependability, and a high level of motivation.

Excellent organizational skills, attention to detail, strong proofreading capabilities and the ability to prioritize effectively are a must.

The successful candidate also should possess excellent written and oral communication skills and the ability to identify/anticipate needs and proactively provide support.

Superior proficiency at word-processing skills, preferably Microsoft Word, Excel, PowerPoint and Outlook or an equivalent are essential.

The successful candidate should be able to work independently with minimal supervision, work under tight time constraints, and be able to prioritize her/his own work.

Discretion is required in handling highly sensitive and confidential information.

Ability to manage multiple projects and complete assignments within required time frames is essential.

The ability to network within the company is important.

Excellent partnering skills are required; a successful candidate needs to be a team player.
