Position Description:

Position Purpose: Relieves Manager of administrative functions such as expense reporting, travel arrangements, voice mail, calendar management, etc.

 Major Tasks, Responsibilities & Key Accountabilities:

  • 40%- Administrative Tasks
  • 20%- Arranges and coordinates departmental events
  • 10%- Creates Purchase Order and Requests for Capital Expenditure documentation and reconciles invoices following department procedures.
  • 10%- Monitors and orders departmental office supplies
  • 10%- Maintains departmental organizational charts
  • 10%- Manages a number of different objectives, projects or activities at one time.


Nature and Scope:

  • Reports to Chief Marketing Officer. Has no direct reports.

Environmental Job Requirements:

  • Environment: Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.
  • Travel: Typically requires overnight travel less than 10% of the time.


Standard Minimum Qualifications:

  • Must be eighteen years of age or older.
  • Must pass the Drug Test. Must pass Background Check.
  • Must pass pre-employment test if applicable.

 Education Required:

  • The knowledge, skills and abilities typically acquired through the completion of a high school diplomas and/or GED.

Work Experience Required: 3 years

Physical Requirements

  • Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.

Additional Qualifications:

  • Three to five years administrative experience which includes executive level support.
  • Excellent PC skills; Microsoft Office Suite (a must).
  • Expert knowledge of Microsoft Outlook software, including email, calendar, delegation functions, rules management, and meeting planning features.
  • Intermediate proficiency of Word, PowerPoint, and Visio.
  • Excellent verbal and written communication skills with strong knowledge of proper grammar structure. Knowledge of office administration procedures.
  • Ability to proof advanced correspondence including letters, presentations and reports.
  • Must be able to handle multiple tasks and deadlines, adapt to changes in work environment, manage competing demands and be able to deal with frequent changes.
  • Excellent interpersonal and communication skills; pleasant, friendly manner.
  • Must possess superior judgment to handle sensitive and confidential situations and documentation.
  • Ability to work efficiently, accurately, and proactively in the performance of duties.
  • Must be able to work independently with limited supervision.
  • Strong organizational, problem-solving and analytical skills.
  • Demonstrate flexibility in working to meet deadlines or provide outstanding administrative service.

Preferred Qualifications: 

Knowledge, Skills, Abilities and Competencies:

  • Manages a number of different objectives, projects or activities at one time.
  • Demonstrates critical thinking skills with ability apply previous learning’s to new situations in order to solve problems Knowledge of office procedures and equipment.
  • Provides general departmental support as needed.
  • Works independently to manage regular functions and project functions.
  • Willing to perform other duties as required.
  • Performs weekly and monthly spreadsheet updates.
  • Performs research tasks necessary for presentations or other assignments.
