As an Executive Assistant you’re responsible for handling day-to-day administrative duties, this position involves interacting with the offices of senior internal and external executives. You will report to and directly support the Managing Director, Derivative Products Group, Treasurers while also assisting three additional Senior Vice Presidents and Managing Directors.
 
 
In this role you will coordinate and arrange meetings typically involving several senior internal and external executives, make travel arrangements, and provide administrative support (including scheduling calendars and answering phones). You will also prepare PowerPoint presentations; process/track payment of bills; and identify and initiate other administrative projects. In addition to main responsibilities you will be tasked with ad hoc projects.
 
 
Additional Responsibilities will include:
 
 
  • Checking Credit Ratings on a weekly basis using MOODYS and STANDARD & POORS website.
  • Preparing monthly Market Valuations for Prudential Life Insurance Company, Ltd. (Prudential of Japan).
  • Managing and renewing all Legal Entity Identifiers (LEI’s) for all affiliates thru the Secretary Department Database.
  • Maintaining Records Retention as the Records Coordinator for the Derivatives Product Group.
  • Scanning all Swap Confirmations into Documentation Database and assisting the Documentation Group when necessary.

  • 5 years administrative experience, preferably supporting senior level executives
  • Prior working experience with  Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) along with Lotus Notes
  • Experience managing calendars and coordinating meetings
  • Excellent organization and prioritization skills
  • Must have excellent written and verbal communication skills
  • Team player able to work in a highly collaborative environment
  • Excellent interpersonal skills
  • Ability to work under tight time constraints
  • Ability to juggle multiple assignments for different groups
  • Understanding of Prudential's business and operations is preferred
