Description:

We are seeking a skilled and highly motivated executive assistant to support and be a key member of the Customer Office Law team.  This position reports to the Chief Legal Officer for the Customer Office and will provide administrative support to a team of attorneys within the Law Department. 

 

The Customer Office Law team is dedicated to supporting digital, data analytics and cross-business initiatives that are aimed at transforming the customer experience across Prudential’s U.S.  businesses.  To succeed, you will need to be able to operate in a fast-paced start-up environment, while also possessing the ability to successfully navigate the complexities of a large organization.  As a member of the Customer Office Law team, you can expect to work in an environment that provides significant intellectual challenge and meaningful development opportunities.

 

General Job Responsibilities

 

The successful candidate for this position will need to provide a full range of administrative support – while being highly organized, collaborative, and adept at handling multiple priorities. 

 

Administrative duties will include, but are not limited to, the following:

  • Extensive calendar management.  Manage each team member’s calendars with attention to detail and focus on ensuring prioritization of team objectives and key deliverables including handling logistics, anticipating technology needs, preparing materials (agendas, pre-reading), and tracking meeting attendees.  Proactively monitor calendars for conflicts or reprioritization, keeping team members informed of upcoming commitments and responsibilities, and making adjustments as necessary. 
  • Team operations.  Help manage and track budgets and outside counsel spend for Customer Office Law.  Maintain and update monthly reporting used with U.S. Business Law leadership and other business, legal and control partners.  Organize and facilitate team meetings, lunch & learns, and other team activities, including developing agendas, scheduling internal and external speakers, reserving technology, and tracking and following up on action items as needed. 
  • Knowledge management.  Help ensure electronic document management system and hardcopy files for team are kept current, organized, and maintained in accordance with records retention policies.
  • Information production.  Help create dynamic presentations, spreadsheets, reports and other documents, and proofread for spelling, grammar, layout, and completeness. 
  • Point of contact.  Serve as a point of contact for business, legal and other control partners by answering and screening incoming phone calls, responding to routine inquiries, and directing requests to appropriate team members. 
  • Routine administration support.  Prepare and submit general expense and travel vouchers.  Coordinate travel arrangements and prepare itineraries, as needed.  Order supplies and submit procurement, facility, and systems security requests.  Handle general photocopying, scanning, filing and organization of large volumes of materials. 
  • Department support.  Assist with special ad-hoc projects, including participation and coordination of department or enterprise initiatives.  Provide back-up support and coverage within the department, as needed. 

 


Qualifications:

  • A minimum of five years of recent, full-time administrative or other relevant experience providing direct support to a team of senior-level executives.  Experience working with lawyers is a plus, but not required. 
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Clear comfort with and knowledge of general technology, and an ability to quickly learn and use new hardware, systems and applications as needed.
  • Exceptional organizational skills and strong attention to detail.  Proven ability to effectively manage and execute multiple priorities simultaneously with quality results and under tight time constraints.
  • Excellent communication and interpersonal skills, including the ability to clearly and concisely share information and forge relationships with peers and key partners.
  • Confidence, composure and professionalism to offer suggestions and improvements to – and receive feedback from – team members. 
  • Demonstrated ability to work independently, exercise discretion and apply sound judgment in accomplishing tasks. Strong work ethic and self-motivation to anticipate needs, offer realistic solutions, and make timely decisions. 
  • Intellectual curiosity, with an interest in identifying and leading potential process improvements based on team and department needs.
  • Clear comfort working in a fast-paced and evolving environment, and ease in adapting to changing priorities.
  • Ability to maintain a high level of confidentiality in handling sensitive communications.
