Description

Provide direct administrative and project support to the Vice President, Technology.  Indirectly lend support to other department personnel in the department in a confidential manner. Independent judgment is required to plan, prioritize, and organize in a fast-paced, diversified environment.  The ability to apply analytical thinking when parsing out business problems is a key aspect of this role.  This position is part of the team that executes on the business strategy and operating plan for the Business Operations Team.  This role will involve some travel to other Cox Automotive locations.

Administrative Responsibilities

  • Provide general administrative support including travel arrangements and other administrative tasks as needed
  • Organize and manage meetings and events including preparing agendas, managing expenses, catering, scheduling, accumulation of printed materials and transportation; provide on-site support during meetings and events to include taking minutes, logistics and post meeting follow up
  • Serve as a liaison between other departments or business units
  • Order and maintain supplies
  • Prepare and manage expense accounts and reports
  • Proactively coordinate and manage calendars and schedules; resolve any conflicts
  • Assist with departmental employee and contractor on-boarding and off-boarding by coordinating with Human Resources, Facilities, Telecom, IT and other groups as needed
  • Assist with presentations when necessary
  • Assist with departmental communications
  • Maintain Org Charts
  • Work independently or collaboratively (as required) on other internal, specials and/or nonrecurring projects
  • Prepare confidential and sensitive information for use by executive management; draft/prepare memorandums, ad hoc reports, weekly status, correspondence and presentations.
  • Answer telephone calls for the VP; handle all calls in a confidential manner and follow up as required.
  • Manage and organize email inbox and assist in the prioritization of responses
  • Provide backup to other Executive Administrators as needed.
  • Project/Program Responsibilities

    • Attend (as a delegate) non-primary meetings and provide detailed briefings of such meetings to the VP
    • Work cross-functionally with other members of the Business Operations and Finance teams and assist with the compilation, organization, presentation and first level analysis of executive level presentation, reports and performance dashboard (i.e. SFDC performance dashboards and project time tracking reports)
    • Provide HR and CAPG finance teams with review and maintenance support for the CAPG labor resource mappings database
    • Effectively compile from and communicate out on relevant project information to stakeholders and teams.  Included in these communications is the progress against plan of the team’s long term projects.

Qualifications

  • Strong to advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Visio is required.
  • Exposure to SFDC, ERP systems such as Oracle and planning tool such as Hyperion is a plus
  • Must be able to maintain the highest level of confidentiality
  • 5+ years progressive, operational, finance and/or administrative experience
  • Ability to build relationships with external partners and internal departments
  • Demonstrated ability to handle multiple tasks simultaneously
  • Ability to prioritize and work independently
  • Strong organizational skills required
  • High level of communications skills to interact with executives and external professionals
  • Command of spelling, punctuation and grammar and proofreading
  • Bachelor degree or equivalent required
