<b>Who You'll Work With</b>

We are looking for an experienced and high performing Executive Assistant/Project Specialist to support the Vice President of APJC Manufacturing Operations and Supply Chain.

                 

The successful candidate is a highly motivated, highly organized, skilled Executive Assitant and Project Specialist. The Specialist will support the VP of Global Manufacturing Operations APJC. The main responsibilities of this position will be to undertake all administrative requirements of this role, understanding the responsibilities and motivations of the organization’s goals and objectives in order to complete tasks on their behalf.

<b>What You'll Do</b>

Specialist will use discretion in handling details of a highly confidential and sensitive nature. Work requires initiative and independent judgment.  The person hired into this role must be a team player who is proactive, cooperative, collaborative, flexible, identifies process improvement opportunities, loves to learn new skills and has a positive mindset. Must also have a professional and mature demeanor to support the office of the VP.

Key Responsibilities

  • Administrative support to the VP, managing & coordinating the calendar, travel, expense claim, visas and communications; and other support activities to help increase the effectiveness of the VP.
  • Work on complex calendar and scheduling requirements; aligning scheduling priorities;
  • Act as first point of contact internally and externally for the VP, filtering and directing communications & enquires as appropriate;
  • Be a local administrative contact window in liaising with APJC, other regional and global team for business purpose;
  • Participates in a cross-functional EA network. Coordinates overall activities with other EA’s, related to the VP, such as travel to various sites, to ensure efficient travel experience.
  • Act as coordinator in site activities and visitors’ visits, including exec visits, offsite, team building; and etc.
  • Provides specialized analytical support to assist VP and his team on projects, researches issues, analyzes problems, determines approaches, compiles data and prepares reports.
  • As needed, supports the VP in creating communications packages, such as presentations.

  • Management and ownership of selected business operation tasks / projects as well as day to day business administration to VP.
  • Ensure protection of confidential information at all times.
  • Ensure a good understanding of Cisco’s culture, policy and business knowledge. Develops and maintains good relationships with key stakeholders.

  • Excellent English verbal and written communication (fluent Mandarin also preferred), as well as detailed management and leadership, capabilities are a must.

  • Technical Knowledge: In-depth knowledge of administrative procedures and tools required to support a VP
  • Full experience of MS Office including outlook calendar, strong working knowledge of Word and Powerpoint, and ability to learn Cisco’s workflow systems.
  • Establish good working relationship with the VP to have open and disciplined engagements to enhance the overall effectiveness of the executive and the team.
  • Proactive and preemptive nature to manage a volatile and dynamic environment.
  • Confidentiality: Able to work with confidential information.
  • Loyalty, Trust & Integrity: At all times apply these especially in an environment where the Executive is travelling and often away from the office.


Experience/Education:

Administration Assistant or equivalent experience. 
5 years' experience in administrative environment prefers working at the Executive level. Ability to multi-task. Preferred: BA/BS or equivalent experience. 

Working at senior executive level in large multinational organizations with experience in mentoring and team leadership.
Past work experience in the high-tech industry or a global corporate
Degree or equivalent level is highly desirable
