Job Description

SUMMARY 

The Executive Assistant is responsible for providing administrative support for the Administration Department staff, including performing clerical duties, attending departmental and clinical meetings and completing minutes to ensure regulatory compliance and providing support relating to personnel matters as required.  The Executive Assistant also ensures uniform operations that conform to TJC, state and federal regulatory standards.  The Executive Assistant is responsible for maintaining a database to produce rosters, reports and other documents.  The Executive Assistant works closely with the Director of Performance Improvement/Director of Facilities Compliance and the Director of Risk Management.

 

PRIMARY RESPONSIBILITIES

  1. Provides courteous assistance, guidance and direction to departmental visitors, ascertains the nature of visitor business and directs individuals to various locations in the department and hospital when appropriate.
  2. Maintains accurate and efficient filing systems and ensures that file systems are neat and well organized.  Files documents, compiles new files and transcribes data while ensuring the integrity and confidentiality of all file system information.
  3. Performs high quality professional administrative services by answering telephones, prioritizing and directing calls, typing correspondence, scheduling meetings and making special arrangements (e.g., travel, special events) and ordering supplies as needed.
  4. Prepares agenda and takes minutes, types and distributes the minutes for all Medical Staff Meetings, as well as other committee minutes as assigned including, but not limited to Senior Leadership, Performance Improvement, Safety/EOC, Pharmacy and Therapeutics and for the Governing Board after actions by the Medical Executive Committee and other functioning hospital committees.
  5. Prepares agenda for Medical Executive Committee and prepares attachments for presentation at the meeting.
  1. Efficiently inputs and retrieves data using various computer software packages (e.g., Word, Excel, and Access) in order to provide accurate and high quality information needed for records and reports.
  2. Ensures that pertinent information is reported to the Board of Governors, Medical Staff Committees and facility committees as necessary.
  3. Maintains all departmental program policy and procedure manuals and assists department heads with revisions as requested.
  4. Prepares Medical Staff On-Call schedules weekly.
  5. Adheres to facility’s departmental and corporate, personnel and standard policies and procedures.
  6. Attends all mandatory facility in-services and staff development activities as scheduled.
  7. Supports facility-wide performance improvement goals and objectives.
  8. Maintains confidentiality of facility employees and patient information.
  9. Makes customers feel welcome and respected as individuals, treating them with courtesy and respect both in face-to-face interactions and on the telephone.  Works as a team player supporting and assisting other employees.

Job Requirements

QUALIFICATIONS 

Must be able to type at least 65 wpm; knowledge of medical terminology, and thorough knowledge of Microsoft Office software programs; shorthand experience desired.

 

EDUCATION and/or EXPERIENCE

Education: Associate Degree in Business Administration or related field preferred; or an equivalent combination of education and experience.

Experience:  At least three (3) years experience as an Administrative Assistant in a health care setting.

LANGUAGE SKILLS

Skilled in telephone etiquette and paging procedures.  Effective oral and written communication skills.
