Position Description

Primary Responsibilities:

  • Provide in-depth administrative support to 1 or more ELTs including but not limited to:

    • Proactive management of ever changing schedules and required meetings; volume of meetings to support Chief Audit Executive (CAE) are extensive given nature of internal audit

    • Planning and coordinating conferences (internal UHG and external conference attendance), teleconferences, and video conferences

    • Travel planning (including international travel)

    • Be proactive in determining needs of the leader and be creative in solutions to support the efficiency and effectiveness of the leaders

  • Expense reporting
  • Regular backup coverage for other Corporate Finance ELT:

    • Chief Investment Officer, & Treasurer

    • SVP & Controller

    • SVP & Chief Accounting Officer

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Alert the front desk / security of any in-person meetings so the guests are greeted correctly.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies; this includes break room and conference rooms on 4th floor
  • Manage Real Estate needs for 2nd floor of 9900 Tower in partnership with other Corporate Finance Executive Administrative Assistants and IAAS Project Management Office
  • Business Systems Liaison (BSL) and decision/problem solving skills
  • Prepare outgoing mail, including overnight express
  • Answer incoming calls and facilitate handling of requests for information; evaluate calls in terms of importance and use independent judgment to take action
  • Prepare letters, memos, documents, schedules, reports, charts, and presentations using standard computer applications
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Contributes to team effort by accomplishing related results as needed
  • Distributes all internal audit reports in a timely manner (responsibility may move to the IAAS Project Management Office)

Required Qualifications:

  • High school education or equivalent
  • 5 or more years of administrative support experience, at least 3 or more of which have included support of senior level executives
  • Experience planning & coordinating domestic travel
  • Experience creating and submitting expense reports
  • Experience maintaining complex calendars and setting up meetings
  • Intermediate level of proficiency in Microsoft office suite
  • Notary public (or willing to obtain this)

Preferred Qualifications:

  • College degree
  • Experience planning & coordinating international travel
