Executive Assistant to VP, Legal Department

What You'll Do
We are seeking a proactive, professional and fun executive assistant to support a VP leading several groups in Cisco’s renowned legal department.    As a key member of the team, you’ll be working with team members, executives, customers, and vendors globally. 

Responsibilities include:
• Calendar Management: Manages VP's calendar by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, what meetings are attended, and who can attend instead.

• Meeting Planning and Organization: Assists VP in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based upon participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post-meeting action item list.

• Correspondence/Approvals: Supports VP by acting as a proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. Takes initiative to resolve problems within specified policies and guidelines, and provides mentoring to administrative community members on problem-solving. Determines when executive action is required and supplies a recommendation where appropriate.
• Travel: Responsible for making travel arrangements for VP. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses. 
• Special Projects: Provides analytical support to assist executive on special projects. Researches issues, analyze problems, compiles data, and prepares reports.

-Large Events: Will be a key resource in organizing global legal department and regional All Hands events

• Confidentiality: Candidate will deal professionally with sensitive and confidential matters and materials.

Who You'll Work With
This legal team supports Cisco’s Global Service Provider, Cisco Capital, IoT Latin American and Canadian businesses.  We have lawyers, contracts professionals and other staff in 19 countries, focusing on helping Cisco build and sell products and services to partners and customers globally.  Although the team operates at the highest levels professionally, the team is fun, informal and has a strong sense of giving back to the community.


Who You Are
You have experience providing support at the VP level. You take initiative, can prioritize, have a client service mindset and thrive in a busy environment.  A strong confident communicator, you are organized, results orientated and able to “get things done” knowing we have your back!

Our minimum requirements for this role:
• 8+ years’ experience in an administrative environment.
• Outstanding track record of performance.
• Experience in planning meetings and coordinating travel.

• Expert level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.

• Daily presence in the San Jose Cisco office.

• Comfortable working with high-level Executives a plus
