Executive Assistant to VP of Engineering

What You'll Do

In this role, you will provide support for calendaring, travel, expenses, along with management and oversight of special projects, as needed. To perform these tasks effectively, you will be expected to become familiar with the products, people, and organizational dynamics within Cisco’s CTG organization. You will be expected to understand how to handle, with a great degree of independence, incoming asks for time, meetings, resources and other needs from the VP, Sr. Director and members of their team. You will be responsible for determining when to refer matters to others, and to whom they should be referred. You will be responsible for following up to ensure proper disposition, and make sure nothing falls through the cracks. You will become a core member of the VP, Sr. Directors team. You will reside at Cisco’s Boxborough MA location. Due to the frequent engagement of the VP, Sr. Director’s across Cisco, this individual will interface with and coordinate activities with other Assistants and executives in Cisco. You will work closely with the Administrators of the Collaboration group. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients, and vendors. Sensitivity to confidential matters required.

  • Operations management: Manage and operationalize complex program staffing, program, and financial reporting. Manages all HR and Financial and other process approvals.
  • Staff meeting Management: Creates agenda, tracks objectives and action items, Insures proper project and financial reporting. Delivers effective meeting minutes.
  • Calendar Management: Manages VP's calendar by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, what meetings are attended, and who can attend instead.
  • Event Speaking Engagement Coordination: Manages a running list of VP’s engagements and works closely with communications team to ensure content needs are understood and set in motion so VP is prepared for each engagement.
  • Meeting Planning and organizations: Plans and organizes meetings by taking responsibility for assembling the agenda, location, meeting technology based upon participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item list.
  • Correspondence/Approvals: Supports VP by acting as a proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. Takes initiative to resolve problems within specified policies and guidelines, and provides mentoring to administrative community members on problem-solving. Determines when executive action is required and supplies a recommendation where appropriate.
  • Travel: Responsible for making travel arrangements for VP. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses. Works diligently to go the extra mile, working with the airlines direct to accommodate Global Services benefits for upgrades whenever they are available.
  • Special Projects: Provides analytical support to assist executive on special projects. Researches issues, analyzes problems, compiles data, and prepares reports.

The Unified Communications Technology Group (UCTG), a part of the Collaboration Technology Group (CTG) is responsible for the development, innovation, and manufacture of hard endpoints in the Collaboration portfolio. The group is chartered with delivering a comprehensive family of voice, video, desktop endpoint products, services and solutions to the entire portfolio of Cisco customers such as Enterprise, Service Provider, and Small & Mid-Size Businesses (SMB).

You have experience providing support at the VP level. You take initiative, can handle a full desk with ease and thrive in a busy environment.  You are a strong problem solver, super well organized, have excellent judgment, operationally minded, smart, get stuff done person.

Our minimum requirements for this role:

  • 8+ years’ experience in an administrative environment. A minimum of 4 years of experience supporting a Principal who was at the VP level.
  • Independent, confident, adaptable, detail oriented, analytical, focused, persistent, resourceful, anticipates, looks ahead, fast and effective
  • Outstanding track record of performance.
  • Experience in planning meetings and coordinating travel.
  • Collaborative style, easy going and personable, diplomatic with an even temperament
  • Works in an organized and disciplined manner. Detail oriented.
  • Expert level knowledge of desktop computer applications: Outlook, Word, Excel, PowerPoint.
  • Advanced desktop calendar management program experience.

  • Must be able to work in Boxborough, MA office most of the week and travel may be required.
  • Extremely proactive with a professional and approachable demeanor in all interactions; possess exceptional communication skills with all levels of staff, executives, customers, vendors; and sound judgment.
