Job Description

El Paso Behavioral Health System is a 163 bed private psychiatric hospital specializing in mental health and chemical dependency care in both inpatient and outpatient settings. This is a new and unique position that will be overseeing coordination for all schedules for the direct care at the inpatient hospital. The Executive Scheduling Assistant will work very closely with the Chief Nursing Officer, Chief Operating Officer, Chief Financial Officer, and Chief Executive Officer and will blend responsibilities of an Executive Assistant with a Nursing Scheduler. Some of the duties will include: 1. Provide daily staffing and coordinate schedules for all RN’s, LVN’s and MHTs (Mental Health Technicians). 2. Process PTO requests and ensure coverage for employees taking PTO. 3. Process call ins/absences and ensure coverage. 4. Ensure training/orientation of Nursing staff is current. 5. Review time sheets daily and make corrections as needed for Payroll. 6. Review staffing with CNO to ensure adherence to staffing grid and safety. 7. Maintain up to date and accurate nursing staff phone lists. 8. Handle paycheck discrepancies for nursing and clinical staff. 9. Respond to questions and inquiries about the facility in a professional and courteous manner. 10. Support the Administration Department by maintaining an organized environment with a courteous professional demeanor. 11. Perform clerical tasks for CEO including facility administrative records, answering/initiating phone calls, and intercom pages in a professional manner. 12. Perform routine facility filing for the CEO. 13. File all corporate mail promptly in specific files and respond to inquiries as appropriate. 14. Coordinate the Chief Executive Officer's daily schedule and organize meetings as assigned. 15. Coordinate the board room schedule, responding in a timely fashion and appropriately to all requests. 16. Prepare and mail monthly meeting calendars to the medical staff and facility staff. 17. Assume responsibility for the finished product whenever a typing, copying or filing task is completed. 18. Maintain all hospital and medical staff policy and procedure manuals and assist Department Directors with revisions as requested. 19. Attend and maintain complete minutes for various facility meetings, which may include meetings of the Medical Executive Committee, Governing Board Meetings, and Administrative Management meetings. 20. Maintain all medical staff rosters in an effective manner. 21. Type and distribute medical staff and administrator on-call rosters to all appropriate Departments and Programs. 22. Coordinate travel arrangements for the Chief Executive Officer and key personnel. 23. Open and distribute mail for the Executive Team. 24. Order supplies for the department; maintain a cost-effective and efficient office. 25. Assist in the preparation of licensing and accreditation surveys. 26. Maintain the Consulting Board of Trustees/Governing Board Bylaws, Medical Staff Bylaws and rules and regulations. 27. Maintain physician contracts and copies of physician invoices.
