Position Description:
POSITION PURPOSE

  • Responsible for Customer Service, and Soft Sales with customers in the Pacific, Caribbean, Central and South America region and Canada.
  • Coordinate communication between US operations and other foreign offices or customers.
  • Manage daily workflow using good judgment to interpret customer’s needs.
  • Timely completion of work is required to meet scheduled deadlines.
  • Creative with strong organizational skill.
  • Team player.

MAJOR TASKS, RESPONSIBILITES AND KEY ACCOUNTABILITIES
  • Taking Inbound calls.
  • Manage request for orders, substitutions, return credits, and processing export documentation for export and all involved parties
  • Entering customer orders and quotes.
  • Provide customer support in regards to special request and domestic customer service as needed to export cargo.
  • Create IMO for Hazmats materials.
  • Create Certificate of Origins
  • Submit paper work Hacienda in Puerto Rico ( Pico )
  • Support to Sales Force ( 12 Sales Reps )
  • Coordinate export shipments, expediting when necessary
  • Prepare export documentation
  • Review Letters of Credit if necessary
  • Correspond daily with customers and sales force via fax, phone and e-mail
  • Research shipping discrepancies, credit and debit claims
  • Issue credits and debits
  • Quote stock availability and prices
  • Create proforma invoices.
  • Communicate with management regarding any irregular issues/concerns observed in territories under export responsibility on a continuous basis
  • Advise and assure compliance with company and department policies via written correspondence on credit, warranty and technical requests, etc.
  • Assist Credit Manager/Department with resolving remittance discrepancies
  • Provide assistance and support to the Outside Sales force
  • Experience in commercial export area, knowledge to deal with FF/NVOCC, Carriers


NATURE AND SCOPE

Reports to Manager, Sales Administration and Analysis. Has no direct reports.

ENVIRONMENTAL JOB REQUIREMENTS

Environment:
Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.

Travel:

Typically requires overnight travel less than 10% of the time.


ESSENTIAL SKILLS:
MINIMUM QUALIFICATIONS

  • Must be eighteen years of age or older.
  • Must be legally permitted to work in the United States.

Education Required:
  • The knowledge, skills and abilities typically acquired through the completion of a high school diplomas and/or GED.
Years of Relevant Work Experience: 3 years

Physical Requirements:

  • Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.

Preferred Qualifications:
  • Must possess a professional and positive attitude.
  • Develop leadership skills including planning, logistics, transportation and customer service to help with sales force.
  • Proficiency in MS Office (Word, Excel) as well as mainframe business
  • system (JDE preferred).
  • Foreign language skill (Spanish).
  • Ability to work in a team environment.
  • 49 CFR 172.704. DOT Hazardous Materials Transportation Course (Certification)

Knowledge, Skills, Abilities and Competencies:
  • Intermediate Microsoft Excel and Word skills; basic Microsoft Outlook experience 
  • Good communication skills and attention to detail 
  • Sense of urgency and ability to prioritize 
  • Self starter and ability to work independently
