Position Description

The Facilities Service Analyst will provide technical support for the Facility Management organization by managing the Facilities Computerized Maintenance Management System (CMMS), currently on the ServiceNow platform.  Responsible for reviewing, analyzing, and preparing modification requests for the Facilities CMMS.  Plays a critical role in overall process workflows, data management, data validation, and documentation.  Facilities Service Analyst will provide analytics on system usage and user activity\productivity as well as subsequent training on process improvement.


Primary Responsibilities:

  • Acts as System Administrator for Facilities CMMS platform and develops and trains backup system administrators. Coordinates enterprise CMMS changes through WellMed Information Technology staff

  • Reviews and analyzes Facilities system activity and establishes procedures to effectively maintain efficient service delivery methods

  • Serves as the liaison between Management and staff, addressing all system issues, managing overall workflow, and identifying system usage issues

  • Prepares requests for changes outside of Facilities System Admin capability and submits to IT Application Development. Manages change to completion

  • Facilitates process improvement efforts and manages necessary changes

  • Reviews customer complaints regarding Facilities CMMS as well as internal / external surveys for issues, prepares mitigation plans, and oversees resolution of issues

  • Uses a change management process to document, implement, and test changes to Facilities module.  Assists IT Application Development with proper documentation of enterprise changes

  • Facilitates development of training materials and delivery of training for both end users and Facilities staff

  • Monitors and reports on system performance.  Develops and maintains reports, spreadsheets, and presentations for distribution to management

  • Develops process flows, guidance documents, policies and procedures, etc. as necessary for proper use and administration of Facilities CMMS

  • Maintains up to date knowledge of latest trends, products, and regulatory requirements in order to provide effective and efficient service management

  • Performs all other related duties as assigned

Required Qualifications:

  • Bachelor's degree in Math, Information Systems or a related field (6 or more years of related experience may be substituted in lieu of a Bachelor’s degree)

  • 2 years of experience in administration of a computerized maintenance management system (CMMS)

  • Must be familiar with a variety of the field’s concepts, challenges and best practices being utilized within the industry

  • Intermediate knowledge and use of Microsoft Office applications to include Word, Excel, PowerPoint, and Outlook


Preferred Qualifications:

  • System Admin experience with ServiceNow

  • Knowledge and use of Microsoft Office Project and Visio applications
