  • Manage and respond to meeting services request via calls or email and reserves meetings in the Condeco (software) scheduler.
  • Directly manage the conference center in WP consisting of 20 current conference rooms. Rooms can increase or decrease due to business needs. Including the Purchase Learning Center consisting of (10) conference rooms and amphitheater.
  • Directly manage: Facilities Sr. Coordinator and (2) meeting services contractors, coach and mentor as part of on-going development
  • Support Board of Director meetings with oversight of \"Run of Show\" and coordinate the arrival and departure of board members and car services.
  • Leverage industry standards and best practices field to create an exceptional meeting/conference experience for PepsiCo leadership, associates, visitors and clients.
  • Align with BIS on the operation and workings of the Condeco reservation panels located at conference rooms. Inform BIS of non-working panels and follow up on repairs/replacement.
  • Update conference room information in Condeco/Outlook and on the GRES Home Pages.
  • Obtain Certificate of Insurance for non-PepsiCo events from vendors.
  • Coordinate the delivery of special promotions, displays.
  • Coordinate with building operations the necessary infrastructure needs (electrical, data, etc.)
  • Run weekly Function reports and ad hock reports on meeting reservations.
  • Develop timely KPI's for distribution.
  • Monitor the meeting rooms, surrounding rest-rooms for cleanliness. When services are required, contact cleaning services and direct cleaners as needed.
  • Assist meeting attendees with basic AV equipment hook ups: laptop, TV remote.
  • Ensure that catering has been delivered and set-up according to meeting request, monitor catering removal and contact catering department as needed.
  • Arrange meeting tables and chairs to accommodate meeting request
  • Move and set up company product displays.
  • Move and re-arrange seating area furniture and re-set as needed.
  • Deliver equipment to meeting rooms throughout the facility: flip charts, extra chairs, easels.
  • Coordinate with outside moving services vendor for large furniture removal and replacement.
  • Manage necessary budgets.
  • Walk the building throughout the day and re-set conference rooms to reflect a professional clean environment.
  • Coordinate with outside organizations on-site meetings, coordinate with security, food service, AV services, etc.
  • Other Duties as assigned


  • Degree in Hospitality preferred
  • 3-5 Year experience in Conference Services or Event Planning.


  • Excellent Phone Skills
  • Ability to lift 50 lbs
  • Stand on feet for long periods throughout the day.
  • Flexibility to work late and early hours.
  • Computer Skills: meeting reservation system, outlook, Word
  • Ability to communicate with all levels of management
  • Detail oriented, with focus on high quality and customer support.
  • Independent thinker, with ability to multi-task
