Cox Enterprises is seeking a Fleet Operations Coordinator who will be responsible for the day to day operations and administration of fleet activities for all Cox locations within a geographic area.  Primary responsibilities include, but are not limited to, submitting orders, delivering vehicles, invoice processing, and data entry for fleet vehicles.  The Fleet Operations Coordinator will report to the Area Fleet Operations Manager.    

Job Responsibilities
  • Submit invoices for payment via procurement card or AP invoicing, reconcile charges, and apply monthly department coding; enter receipts into Fleet Management Systems
  • Maintain detailed, accurate, up to date information for all company vehicles via Fleet Management systems, updating vehicle information, driver assignments, and registration information as needed daily
  • Receive, research, and resolve motor vehicle violations with drivers and business partners
  • Support the vehicle tag/registration compliance; including monitoring temp tags, annual registration renewals, and update Fleet Management Systems
  • Oversee annual insurance card distribution, fuel cards, driver PINS, and accident packets
  • Maintain/manage vehicle compliance records, including DOT company/vehicle/driver information.  Review mileage and fuel data for CDL vehicles to maintain compliant IFTA regulations. 
  • Provide consolidated reporting to Fleet Operations Manager to include but is not limited to vehicle use, expenditures, vehicle status, fuel, mileage, and vehicle assignments
  • Order/maintain fuel cards and personal PIN numbers for business partners
  • Performs a variety of complex, unsupervised tasks with a wide degree of creativity and latitude. (Business Requirements Prioritization; Problem Solving)
  • Work with business partners to provide detailed vehicle information from Fleet Management Systems promoting fleet utilization and reliability
  • Work with business partners during BCP events (Business Continuity Plan) providing Fleet support during catastrophic events
  • Using the data provided by the Area Fleet Operations Manager, coordinate the transportation of equipment between Regions and Divisions of all Cox Enterprises business units
  • Assist with annual personal use reporting of employees as required
  • Relies on experience and seasoned judgement to plan and accomplish goals
  • Other duties and tasks required by Management
  • Coordination of the schedule and reservation tools for the local pool and Cox Conserves vehicles
  • Assist with accident reporting and subrogation tasks and process violations
  • Coordinate tag registrations and renewals for each vehicle in responsible area
  • Maintain DOT compliant records and manages all IFTA reports/payments.


  • High school diploma and 5 years’ clerical experience or Associates Degree preferred
  • Fleet experience preferred
  • Strong interpersonal skills and the ability to effectively communicate with peers, business partners, and leadership
  • Ability to interact with internal and external business partners supporting corporate policy, standards, processes and procedures
  • Proficient in understanding, analysis, and management of vehicle information to provide recommendations
  • Strong proficiency with computers, Microsoft Office programs, internet based applications, and Fleet Management Software
  • Self-motivated, able to manage expectations, prioritize work to meet deadlines, and work under pressure in a fast paced, high energy environment
  • Knowledge of federal, local, and state laws within region to support compliance of all vehicle related records
  • Strong customer service and organization skills required
  • Works well in a team environment by supporting departmental initiatives and goals
  • Provide excellent communication skills, both written and verbal
  • Must have a valid US state issued driver’s license and the ability to travel within region
  • Travel is isolated to nearby customer locations within assigned region
  • Relocation may be required.
