Job Details

The Instrumentation Clerk will administer and maintain various certified plant documentation systems related to the engineering department involving data entry (ex. efficiently create new instrument records, perform approved instrument record entry changes, historical searches and reports in the Computerized Calibration Management System), filing of instrument master and calibration record documents, queries and report generation. This person will also review and audit records for correctness and compliance. They will interact and communicate with other plant colleagues/departments representing the Instrumentation department. This colleague adheres to Instrumentation and related procedures. The incumbent performs as a technical resource for other plant organizations.

Role Responsibilities:

+ Review and audit records for correctness and compliance.

+ Initiate, route, and track documents.

+ Adhere to all SOPs, CGMPs and plant quality, safety, engineering and documentation system requirements as well as other related duties essential to these operations or special assignments as required.

+ Professionally interface with manufacturing, validation, maintenance, and management colleagues.

+ Create approved new instrument records.

+ Initiate approved instrument changes.

+ Support and prioritize Instrument record requests.

+ Perform historical searches and submit requested reports.

+ Support Instrumentation compliance team audit record requests.

+ Create supply and instrumentation purchase documentation in the procurement systems.

+ Make recommendations regarding improving Instrumentation Computerized Calibration Management System and documentation performance.

+ Maintain all training requirements on-time.

+ Perform other related duties as assigned or required.


+ Required: High school/GED with 3-5 years of progressive office or administrative experience in manufacturing / engineering environment required -or- an

+ AS/AA with 1- 2 years of experience or BS/BA degree (or equivalent) in a technical field may also be considered in lieu of experience.

+ Demonstrate proficiency in computer applications including spreadsheets, word processing, presentation and other software associated with are systems.

+ Ability to comprehend and respond to verbal and written instructions/plant documents.

+ Ability to work independently or in groups effectively.

+ Strong problem-solving, organization and interpersonal skills.

+ Strong verbal and written communication skills.

+ Excellent communications skills.

+ Ability to read, write, and enter Instrument Calibration and Preventative Maintenance records .

+ Complete new and edits to Instrumentation Calibration Records in Computerized Calibration Management System.

+ Familiar with methods of measurement (metrology) as pertains to calibration of process and facilities instrumentation/equipment

+ Perform mathematical formulations as relates to Instrument Master Records.

+ Mathematical calculations as relates to problem solving and trouble-shooting the preceding components

+ Must have accomplished knowledge in 6 of the following areas with concentrated knowledge in 4:

+ Instrumentation/Calibration systems

+ HVAC/refrigeration systems

+ Microsoft Computer Office Software systems

+ Outlook

+ Word

+ Excel

+ PowerPoint

+ QTS TrackWise

+ PDOCS Document System

+ Ariba Procurment System

+ Must be able to work overtime as required including weekends, holidays, shutdowns, projects, and etc.

+ Must be available for on-call work as needed.

+ Ensuring adherence to all plant safety rules in area of responsibility.

+ Physical/mental requirements include: Lifting (up to 25 pounds), sitting, standing, walking, bending, climbing low ladders, ability to perform mathematical calculations, ability to perform instrument reports, and ability to perform computer data entry.

+ Non-Standard Work Schedule or Environment Requirements include: Must be able to work overtime as required including weekends, holidays, shutdowns, projects, and as required. Must be available for on-call work as needed. Must adhere to safe work practices. Train on all required procedures.
