Description:

The Legal Administrative Assistant for the PepsiCo Global Regulatory & IP Team reports to and provides executive-level support to the Global Regulatory and IP Team in Purchase, New York.

Responsibilities include, but are not limited to, the following:

  • Scheduling and maintaining calendar of appointments, scheduling conference calls and telepresence meetings
  • Managing travel arrangements, including international travel
  • Planning internal and external meetings - including scheduling hotel and travel for attendees, assisting with agenda, room/equipment and catering
  • Creating and revising documents, presentations, spreadsheets
  • Preparing, proofreading and submitting expense reports in compliance with company policies
  • Assisting with some contract database uploading
  • Setting up new legal matter and processing legal invoices using company invoice automated system
  • Receiving visitors, screening phone calls
  • Sending out international overnight priority packages, manage printing/copying jobs
  • Ordering supplies and managing P-card for the group
  • Working as a team player for NY-based patent and regulatory team and supporting special projects
  • Printing documents, creating and organizing files and records, following up on pending matters


Qualifications:

  • College degree preferred, 5+ years of previous administrative experience, supporting attorneys strongly preferred; law firm experience strongly preferred
  • Demonstrated standards of confidentiality
  • Excellent verbal and written communication skills
  • Ability to set priorities in response to demanding workflow
  • Strong organizational skills
