Position Description

This Associate Director will plan, direct, and oversee all traffic, production and operations including coordinating movement of all jobs through Documentum Content Management system, daily status report of all active jobs in the shop created, on-board training for new employees, budget management, cost control, and operating efficiencies. This person will be a hands-on manager of day-to-day and long-term production work, activities, and project work; and have responsibility for managing direct reports. 


  • Leads and manages marketing and communications project development operational strategy and end-to-end oversight

  • Oversees the development of project timelines and collaborates with marketing/communications leader to specify goals, schedule tasks, identify risks, develop contingency plans, and plan resources

  • Oversees Rules of the Road review process, which governs internal approval process for necessary materials

  • Communicates clear direction to ensure delivery teams understand project timing and requirements and communicate that to business partners

  • Conducts internal project status meetings with cross-functional internal teams

  • Coordinates and follows up with consultants and agency (as appropriate) to be sure project progresses on schedule and goals and requirements are met

  • Prepares daily project status and resource reports, keeping all parties involved and updated

  • Prepares estimates as appropriate and builds/manages project timelines and scope

  • Obtains vendor costs and timing when developing and finalizing business partner estimates

  • Works with marketing communications consultant to address estimate constraints and monitor scope/assumptions

  • Alerts supervisor and account team when barriers or issues arise


  • Effectively manage all expenditures including operating budget and capital investments related to production and communications team

  • Interact with IT on technical issues related to content management system and other projects to ensure that the operation remains both technically sound and fiscally efficient

  • Manage all expense and budget aspects for provider communications

Team Leadership

  • Manage performance, compensation, and individual development and training plans for employees on Production team

  • Reward and compensate employees based on performance and skills

  • Develop and manage succession plans to ensure a continuous flow of talent exists for key Production positions

  • Work with subject matter experts and teams on activities, projects and issues that address traffic/production, financial, and operations to ensure strategic and tactical priorities are successfully addressed

  • Ensure tight coordination between Production team and communications writers to drive efficient processes and on-time turnaround of projects

  • Lead problem solving and troubleshooting activities for Production

  • Lead the continuous process improvement initiatives

  • Be alert to better, more cost effective and efficient ways of running the production operation

  • Administer and implement such improvement programs as are developed for production

  • Perform other duties as assigned or appropriate

Required Qualifications:

  • Bachelor’s Degree or 3 additional years of related work experience
  • 5+ years of experience in communications production, traffic or operations
  • 2+ years of offline and / or digital project management experience, including project management software usage
  • 2+ years of experience managing, leading or mentoring direct reports
  • Intermediate or higher proficiency with Microsoft Word, PowerPoint, Excel, MS Project, Visio, Adobe Illustrator, and InDesign

Preferred Qualifications:

  • Experience working in a marketing or communications agency
  • Experience in print, digital, and audio/video production
  • Experience working in healthcare industry
  • Ability to lead by example, jumping in when necessary to keep operation moving
  • Ability to motivate and lead employees
  • Ability and willingness to communicate routine and urgent processing issues and needs
  • Ability to discern quickly, capture the essence of a problem and make sound judgments from minimal information
  • Open and direct communicator; excellent verbal and written communication skills
  • Ability to escalate issues as appropriate and in a timely fashion to ensure information is shared effectively
  • Ability to work successfully with all levels of employees and internal groups/teams, while providing leadership and coaching as appropriate and necessary
  • Ability to translate observations into actionable plans
  • Ability to think and act strategically with the capacity for growth in strategic thinking ability
  • Ability to work with outside vendors and suppliers
  • Proficiency with Content Management System Background Important, i.e. Documentum
