Job Details

Position is responsible for the management of local market Customer Engagement (CE&E) events (Internal colleagues meetings, external attendee engagements, congresses). This includes oversight of the logistics management processes, cost savings measurement, tracking and reporting of all meetings, implementing local policy and standards, client relationship management, and implementation of vendor management programs. Also responsible for liaising with BT to develop / promote meetings solutions that include virtual and other cost effective options and ensuring compliance to support continuously changing business needs.

**Responsibilities & Accountabilities**

Local Subject Matter Expert on CE&E, and point of contact for any initiative impacting meetings process as well as supplier performance. End-to-end management of CE&E activities (including compliance, logistics, payments, reporting, etc.). Management of key category vendors (e.g. logistic agencies, AV/production and exhibit agencies) Deliver on site event support. Partner with Procurement to implement SOPs and Compliance documentation. Leverage meeting volume to enhance Vendor negotiations with Procurement. Conduct event closeout with internal and external stakeholders, including event budget reconciliation. Support quarterly agencies performance reviews where applicable. Use data sources to inform stakeholders and manage vendors : activity levels, spend, issue logs. Support creative solutions to meetings which may include virtual and other cost effective options. Ensures compliance processes and global policies are followed at the local market level including training to local BU clients and vendors on SOPs and process. Key interface with other enabling departments, providing subject matter expertise for initiatives. Follow up on local meetings performance metrics and cost savings. Effectively shares and implements best practices. Coordinate with Compliance/OP Admin Teams to ensure effective execution of meetings. **Functional, Business & Technical Competencies**

Proven capabilities for meetings management with knowledge of the pharmaceutical industry and compliance. Demonstrated ability to understand business and customer needs. Strong project management and organization skills with the ability to handle multiple tasks simultaneously. Can respond to tight timelines as well as the capability to interact with all levels of the organization and external customers in a professional manner. Demonstrated judgment and the ability to prioritize work. Ability to influence without authority Ability to manage multiple stakeholders Strong communication, negotiation and influence skills. Experience/ability to work in a matrix structure. Experienced in vendor negotiations . Knowledge of local market vendors/hotels/venues. Ability to manage vendors to ensure all logistics of a meeting are flawlessly executed. Flexible to adapt to changing business needs, anticipating needs and fulfilling expectations. +3-4 years of pharma experience College bachelor required Proven capabilities for meetings management with a knowledge of the pharmaceutical industry and compliance. Bi-lingual language skills preferred (English/Spanish or English/Portuguese)
