The Clinical Admin Coordinator is responsible to schedule and coordinate appointments with clients, physicians and examinees in both the IME/QME and SSI lines of business. This position ensures that client specific requirements are met for all contracted examinations, all related services are arranged as needed and all necessary reports are received and returned to the clients within the required time frame. Business is primarily done via phone which requires the highest level of quality customer service and phone skills. All duties must be completed in compliance with all regulatory and company standards.

Primary Responsibilities:
  • Schedules examinations through the appropriate database
  • Schedules and confirms appointment dates and times within the assigned physicians’ offices or MSLA clinics
  • Communicates with contracted clients regarding appointment scheduling, physician CVs, appointment changes, no-shows, cancellations and receipt of medical records
  • Sends out required regulatory letters and notices within the mandated time frame
  • Prepares charts for the contracted provider to include all medical records, specific client questions, service requests and ensures delivery to provider and/or the exam location prior to the scheduled examination
  • Communicates with clients, providers or examinees regarding cancellations or schedule changes
  • Recruiting and contracting of medical examiners to complete IME exams
  • Recruitment of medical examiners for paneling with the DWC to conduct QME exams
  • Coordinates scheduling of any related services such as interpretation or transportation
  • Ensures all job duties are carried out in accordance with state and federal safety and legal regulations
  • All other duties assigned by Management

 

Required Qualifications:
  • High school diploma or equivalent
  • 2+ years of related claim-handling experience specifically in relation to workers compensation, general liability or casualty insurance industries or government funded aid programs; or equivalent combination of education and experience
Preferred Qualifications:
  • Bilingual
  • AA degree
  • Fundamentals of the claims work-flow process and the importance of regulatory compliance
  • Working knowledge of various medical specialties and associated testing. Basic working knowledge of State Funded Disability programs is preferred
  • Able to work independently, and in conjunction with team members at all levels of the organization
  • Ability to adhere to strict confidentiality guidelines and operate with the utmost integrity and discretion
  • Familiarity with IME/QME lines of business including its importance and function to our clients
  • Able to learn various proprietary data systems
  • Proficient in general computer use and Microsoft Office Suite
  • Must have exceptional verbal communication skills as business is conducted primarily via telephone
  • Must be able to interact with insurance companies, federal employees and medical providers in a professional manner with a high level of customer service
  • Attention to detail
  • Sense of urgency
  • Must be able to adhere to a normal work schedule
