Job Description:
 
Prudential Capital Group is seeking a bright, motivated, and organized individual for an Office Administrator & Executive Assistant position.  This individual will perform administrative work of significant difficulty and complexity for PCG’s New York City office.  Responsibilities will include, but may not be limited to:
 
  • Provide general administrative support for Investment Professional staff as needed (including but not limited to photocopying, filing and processing expense vouchers, etc.)
  • Schedule internal and external meetings with significant time and focus spent on coordinating multiple schedules, conference calls, and meetings in a professional manner
  • Organize and maintain calendars as needed.
  • Arrange and handle registrations, hotel, and general travel arrangements for multiple staff members for marketing, offsite meetings, conventions, conferences and seminars.
  • Conduct Web research on company profiles and relevant financial news, compile and prepare marketing material and information utilizing various financial data bases. Provide basic analysis of information.
  • Utilize Power Point skills to create/revise professional presentations using graphics, diagrams and charts as appropriate.
  • Maintain and add to Salesforce contact management database and run reports and marketing campaigns in Salesforce.
  • Facilitate new hires; complete I-9 forms, create systems profile, provide access to databases and drives, order ID badges, office equipment, office supplies, business cards, credit card, etc). 
  • Maintain office business continuation records and records management.
  • Complete bi-annual recertification of all LAN and other employee roles in IT security databases.
  • General office upkeep and maintenance, including scheduling all maintenance services with vendors for HVAC and other equipment.
  • Tennant representative for arranging electrical and other repairs for office furniture, kitchen equipment, etc. and interacting with building management.

  • Sense of responsibility and integrity required.
  • High School Degree required, Bachelor's Degree preferred.
  • Strong business/administrative experience required.
  • Excellent interpersonal skills, dependability and the ability to communicate with all levels in the organization required.
  • Strong writing, editing and proofreading skills needed
  • Proficiency with Microsoft Office computer applications, specifically Word, Excel and PowerPoint.
  • Proficiency with Salesforce or similar CRM system.
  • Financial literacy/interest in financial markets
  • Experience with web research.
  • Excellent meeting planning, project management, and organizational skills required.
  • Strong initiative, ownership mentality and attention to detail a must with the ability to effectively multi-task and manage multiple assignments and prioritize accordingly
  • Ability to work under minimal supervision under tight time constraints as needed.
  • Willingness to take direction from various sources and prioritize responsibilities as required.
  • Proficiency with Outlook a plus
  • Flexibility to work overtime as required
