FRN SF is currently seeking a Business Office Coordinator, to be responsible for greeting clients and guests with a warm welcome; answering phones with bright, positive energy; and artfully managing the logistics of scheduling appointments.  It is important to be computer literate and have experience simple office tasks such as invoicing. The Business Office Coordinator plays a valuable role in ensuring that all security measures are maintained for medical records, confirming that data access is limited and safeguarded from potential loss, destruction, or disclosure.  In this position you will work closely with the Director of Outpatient Services ensuring that the office runs smoothly and efficiently.  We do life-changing work at Foundations Recovery Network, but that good work cannot happen without the support of a smoothly running office.

Job Requirements

Essential Duties and Responsibilities

  • Cordially greets clients and guests as they enter the building
  • Provides direction for guests and clients
  • Answers telephones, prioritizes, and directs calls in a courteous and helpful manner
  • Tracks invoices for Corporate Finance Department
  • Maintains checking ledger and Visa expenses
  • Assists with billing and insurance form processing
  • Routes all incoming/outgoing mail
  • Maintains inventory and ordering of office supplies
  • Monitors and maintains adequate copies of office and facilities forms
  • Responsible for accurate filing
  • Oversees Holistic Department schedule
  • Responsible for tracking daily attendance 
  • Copies charts for outside agencies
  • Observes all confidentiality regulations
  • Self-directed to provide support to colleagues as workflow allows
  • Works with maintenance staff to ensure general facility upkeep
  • Provides administrative assistance to management team when necessary
  • Pulls records as requested by treatment team
  • Participates in community education programs through administrative support
  • All other duties as required or assigned

Knowledge, Skills, and Abilities

  • Represents Foundations in a manner, which conveys a professional, courteous, caring, and cooperative attitude
  • Understands need for and maintains appropriate confidentiality at all times when interacting with clients, residents, families, visitors, referral sources, and all other contacts
  • Is knowledgeable of Clients’ Right’s and treats all clients/families with dignity and respect in a consistent, caring manner
  • Exhibits excellent customer relations skills, as evidenced by supportive and constructive communication with all contacts, including co-workers, clients, visitors, families, and referral sources
  • Demonstrates professional behavior and interpersonal skills reflective of Foundations mission statement and philosophy
  • Excellent written and verbal communication skills required
  • Analyzes complex situations and develops sound and effective solutions; seeks out assistance when warranted
  • Proficient in Microsoft Office with strong MS Word and Excel skills; can type 50 words per minute
  • Excellent organizational skills, with ability to multi-task and prioritize workload
  • Friendly and outgoing personality with excellent people skills
  • Ability to work autonomously or as part of a team when needed
  • Must comply with drug-free workplace guidelines 

EDUCATION/EXPERIENCE

  • High school diploma or GED required; Bachelor’s preferred
  • Minimum 2 years’ related experience
  • If inrecovery, must have a minimum of 4 year’s abstinence
