Job Description

:The Outpatient UR Specialist oversees the day-to-day functions of the outpatient clinic.

 Referrals/Admissions/Discharges

 

Process new referrals, including gathering required information, verifying insurance benefits, notifying family of financial obligations and obtaining initial referrals in a timely manner.

 

Enter or assist in entering all referrals into Credible, documenting follow-up information.

 

Assist clients and families with consent and release of information paperwork.

 

Enter admissions into Credible (assign staff, episode start date, change status to active)

 

Process discharges, including ensuring discharge letter is sent, un-assigning staff, teams, programs and closing episodes.

 

II.  Scheduling

 

Schedule intake appointments in coordination with the therapist.

 

Schedule therapy appointments when requested.

 

Ensure that all physician appointments are scheduled according to regulatory guidelines and as indicated by the physician.

 

Ensure clients/families receive appointment reminders (phone call, letters, etc.).

 

Ensure documentation of all cancelled/rescheduled/missed appointments physician appointments in Credible.

 

III.  Compliance

 

Request PCP referrals in a timely manner according to regulatory guidelines. Follow up with families as needed to ensure timely receipt of referral. Ensure referrals are scanned to Credible and dates are entered.

 

Print Compliance Spreadsheet from Credible for direct care staff on a weekly basis.

 

Attend and participate in staff meetings.

 

Assist clinical staff in obtaining signatures on treatment plans after therapist review.

 

Notify families of any status changes related to insurance eligibility.

 

Manage non-compliant statuses for PCP, Exp. MCD, and Psych Evals.

 

IV.  Reports

     

Complete and submit Summary of Daily Charges to the business office by 8:30 a.m.

 

Process clinic expense reports each week.

 

Process clinic timesheets each week.

 

Fill in weekly productivity report.

                                          

 

 

III.  Additional duties

 

Answer and direct incoming calls, taking messages when needed.

 

Check clinic general voicemail box throughout the day.

 

Collect co-payments when clients check in for appointments.

 

Work with physician/APN on clinic days. Obtain vital signs for clients.

 

Complete medication prior authorizations.

 

Assist families with Medicaid transportation for physician appointments, if needed.

 

Assist with clinic mail-outs, including DNKA and discharge letters.

 

Process medical records requests in a timely manner.

 

Scan and attach documents in the client record. 

 

Complete purchase requests/purchase order requests, including ordering office supplies.

 

Mail payments and other Administration paperwork to Administration office at the end of each week.

 

Check the mailbox and distribute daily.

Bachelors Degree, preferably in a mental health field.  Preferred a minimum of three (3) years experience in a health care facility. Requires knowledge of general office and phone skills as well as excellent organization, written communication skills.  Must have legible handwriting.  Computer skills necessary.:
