Job Description

The Payroll Specialist is responsible for ensuring that payroll is processed accurately and in a timely manner; assists employees and supervisors with payroll related issues. The Payroll Specialist:

  • Completes the bi-weekly payroll processing in a timely and accurate manner in compliance with Federal and State wage and hour regulations and UHS policy.
  • Inputs new employee data into Kronos.
  • Inputs meal tickets, bonuses, and other data into Kronos.
  • Upload Kronos data to Lawson PR, reconcile Kronos to Lawson
  • Reconcile Payroll tax data before finalizing the payroll run
  • Prepare out of cycle paychecks with proper approval in compliance with UHS policy.
  • Reviews Kronos timesheets each Tuesday morning to ensure they are complete and accurate.Notifies supervisor of missing data that will impact the weekly FTE report.Prepare weekly FTE report and OT reports on off payroll weeks.
  • Download and store all necessary payroll reports in a timely manner.Accurately maintains all payroll related records and files, including manual time cards and documentation relating to employee time edits in accordance with established practice.
  • Prepares schedules and performs research for audits, tax returns, and other needs as directed by the Controller, or CFO.
  • Works closely with Human Resources to process employee transactions.
  • Processes garnishments and tax liens in accordance with UHS policy.
  • Educate Managers on Kronos, including daily time processing and reports and inquiries. Ensure managers have access to the correct departments and menu options.  Serves as a resource for employees on Kronos and Lawson self-service.
  • Assist with the reconciliation of payroll liability accounts in the general ledger.
  • Inputs AP invoices on off payroll weeks.
  • Performs other duties as assigned.
Job Requirements

EDUCATION & EXPERIENCE: Must have a HS diploma or equivalent. Five (5)  years' experience processing payroll required. Certified Payroll Professional (CPP) preferred. Kronos and Lawson experience preferred.

KNOWLEDGE & SKILLS: The Payroll Specialist must have a working knowledge of federal and state wage and hour regulations; ability to perform assignments with minimal supervision; ability to work successfully and professionally under stressful conditions; effective comprehensive reading skills, strong communication skills, written and verbal; seek to improve upon existing procedures and implements new procedures that will reduce errors and reduce the time it takes to complete assignments; must have a working knowledge of computers including strong MS Excel skills and proficiency with MS Outlook and MS Word.

MINIMUM REQUIREMENTS OF THE POSITION: Must be able to complete new hire requirements, such as a background check and drug testing; demonstrate special knowledge, training, and skills specific to payroll within the first three months; complete all mandatory in-services annually; and be tested for Tuberculosis with a PPD skin test or chest x-ray upon hire.

GENERAL WORKING ENVIRONMENT: Working conditions for all employees are as follows, but are not limited to a psychiatric hospital setting: risk involved in the event of aggressive patient(s); workload may include day, evening, night, weekend, and/or holiday shifts. Employees may occasionally be exposed to blood borne pathogens and loud noises. Mental demands described herein are representative of those which must be met by an employee to successfully perform the essential functions of the job, but are not limited to the ability to remain calm in stressful environments; and the emotional stability, physical stamina, and agility to handle stress and respond quickly and effectively to emergency situations.

PHYSICAL REQUIREMENTS:  Requirements include, but are not limited to the ability to communicate effectively with employees; the ability to effectively utilize communication equipment; the physical agility to manage cleaning equipment; the ability to read and write. Additionally, the candidate must frequently utilize physical ability for standing or sitting for long periods of time; regularly utilize physical ability for speaking, hearing, and seeing with correction for close and distance vision, color discrimination, peripheral vision, depth perception and focusing ability.  Speaking and hearing may be necessary for conversing with and assessing employees; be able to ascend/descend stairs and ramps; use body agility; bend body downward and forward by bending spine at the waist; bend legs at knees to come to a rest on knees; be able to extend hands and arms in any direction; be able to use upper and lower extremities to exert force in a pulling or pushing motion. Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects; be able to raise objects from a lower to higher position or from side-to-side; concentrate amidst distractions; must be able to perform work of a repetitive nature; must respond calmly to potentially volatile clients. The worker is subject to both environmental conditions and hazards, as activities can occur inside and outside with various physical conditions. Mental demands include but are not limited to emotional stability, physical stamina and agility to handle stress and respond quickly and effectively to emergency situations.
