The Project and Office Coordinator will be an integral part of the OptumLabs San Francisco team, with a core set of administrative responsibilities and an opportunity to provide meaningful contribution working side-by-side with project teams.  As an office manager, this person will greet and accommodate our guests while ensuring our office space shows in a professional manner.  The role will also include administrative support for one or more OptumLabs leaders.  As a project coordinator this person will support our innovation and research teams by creating and maintaining spreadsheets, compiling documents, performing online research tasks, and completing other tasks as necessary.  We are looking for a candidate who is passionate about our business and enjoys adapting their focus as needed to help us meet our goals, will take pride in enhancing our guests’ experience, and can flex comfortably between face-to-face collaboration and computer-based work.  If you have strong communication skills, attention for detail, and are interested in learning and growing professionally as part of an exciting business and a great team, we ask you to please consider applying for this role.


The mix of project administrative work and general administrative work will vary over time, and the Project Coordinator should be prepared to spend significant time on both.

Primary Responsibilities:

  • Greeting and escorting visitors; providing tours to executives, prospective clients, partners and visiting Optum/UHG staff
  • Preparing the configurable OptumLabs space for meetings, and resetting it after the meetings (among other tasks this requires moving lightweight/rolling furniture and wall partitions)
  • Supporting meeting / event hosts in coordination of room selection and layout, catering, audio-visual equipment, building access, guest wifi access, printing and other local services
  • Coordinating with IT and Real Estate management points of contact as needed for both event support and for general office upkeep
  • Creating and executing processes for planning meetings and events within the space, including coordination with offsite meeting owners
  • Coordinating pre-event logistics (contracting vendors, sending invitations, tracking RSVPs, ordering catering, creating name badges, etc.)
  • Proactively ensuring that the office continues to be a professional and show-worthy space for visiting executives
  • Maintaining the front lobby, kitchen and supply room (taking inventory, ordering supplies, greeting delivery people and stocking items, running dishwasher)
  • Answering incoming calls and routing accordingly
  • Providing travel and expense support for resident executives, as needed
  • Working effectively as an integral member of a team of administrative professionals for meeting and travel coordination
  • Supporting the on-boarding of new hires (processing hardware and software requests along with other BSL duties)
  • Potential for overtime as needed for events administration
  • Supporting project teams by creating and maintaining spreadsheets, compiling documents, performing online research tasks, and completing other computer-based tasks as necessary
  • Assisting with other projects/duties as assigned
