The Senior Administrative Assistant will support multiple leaders within our UnitedHealthcare Global business unit in a manner consistent with the highest levels of performance and professionalism.

 

Primary Responsibilities:

  • Key administrative support role and team member supporting UnitedHealthcare Global leadership in dynamic and complex environments
  • Independently perform varied administrative duties related to functional areas
  • Prioritize meetings to schedule and coordinate respective calendars
  • Make and coordinate travel arrangements, both domestic and international
  • Prepare and submit expense reports
  • Interact and establish relationships with individuals at all levels of the organization
  • Perform Business Segment Liaison (BSL) tasks for onboarding and current needs
  • Schedule, coordinate, and set-up resources and technology needed for meetings and events, e.g., conference rooms, catering, WebEx, Telepresence
  • Partner with admin/executive admin assistants to support meetings, offsite leadership meetings, Monthly Business Review meetings, and other Leadership meeting coordination
  • Partner with admin assistants to optimize meeting times
  • Ensure meeting participants have appropriate access to facilities and systems
  • Plan and organize logistics of large events both on/offsite
  • Enter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendors
  • Manage / monitor / procure office supplies
  • Collaborate with facilities management regarding potential changes/improvements to the office environment
  • Demonstrate understanding of applicable business departments' operations, drivers, and/or procedures
  • Create and prepare meeting materials (e.g. PowerPoint decks; agendas; meeting minutes) and ensure distribution to appropriate individuals in a timely manner
  • Compile and/or integrate information needed to complete reports and documents
  • Review documents to ensure accuracy and quality, and revise as needed
  • Manage office documents in accordance with enterprise records management procedures
  • Provide coverage (e.g. phone; email; reception) for internal team members as needed
  • Evaluate emails, meetings and calls of importance and use independent judgment to take action
  • Greet visiting clients, guests and employees
  • Maintain and/or communicate sensitive and/or confidential information in accordance with internal policies and procedures
