Job Description:

This position is responsible for providing customer service, processing paperwork, assisting with scheduling, and supporting other administrative functions for the lot operations department. This includes weekly inventory checks, requiring the proper staging and moving of vehicles on our commercial yard as needed.

Job Responsibilities:
  • Ensure efficient lot operations by coordinating the movement of vehicles from check-in to the eventual removal after sale. Supervise flow to ensure that incoming vehicles are received, stocked-in, numerated and parked in the proper areas.
  • Assist with lot and office operations on a daily basis to ensure efficient operations and administration prior to and after sale.
  • Monitor lot damage, and meet with Sales Manager on a regular basis to review and resolve potential lot operations problems.
  • Assist in the coordination of sale day line-up and execution of sale day activities (i.e., MMR, Cdn Black Book research, CarProof and other declaration source postings, pricing/reserve entries).
  • Perform basic data entry into the AS 400 computer system as needed. 
  • Maintain constant communication with commercial accounts department, customer support team, vendors and other auction personnel to ensure effective coordination of lot operations activities.  
  • Answer phones, provide support to auction team employees, and provide excellent customer support.
  • Respond to customer requests for assistance and ensure timely resolution.
  • Process all lot operations department paperwork.  Forward all invoices and items to be posted to the appropriate areas (Edmonton Accounting) in a timely manner.
  • Visibly demonstrate safety commitment by following all safety and health procedures and modeling the behaviors related to such.  Actively participate in support of all safety activities aligned with Safety Excellence.
  • Perform other duties as assigned by management.


  • High School Diploma or equivalent required.
  • 1 – 3 years customer service experience required.  Previous clerical or administrative experience preferred.
  • Must have a valid class 5 driver’s license, acceptable driver’s abstract, and proficiency with driving a manual and automatic transmission.
  • Must have personal transportation available, as public transportation is not available at commercial yard.
  • Effective communication skills required.
  • Good problem-solving and organizational skills required.
  • Ability to operate general office equipment (i.e., copier, fax machine, etc.).
  • Good computer software skills required.
  • Ability to sit or stand for prolonged periods of time.
  • Ability to perform repetitive data entry tasks; manual dexterity.
  • Vision abilities required include close, distance and depth perception.
Work Environment:

80% Office setting, 20% Exposure to all weather conditions at commercial yard.
