Description Provide sales and admin support to the IBM Commercial/GTM General Manager, IBM Internal General Manager and Sales and Operations team, reporting to the IBM Commercial/GTM General Manager.



**Roles and Responsibilities:**

1. Administration

a. General administrative support to the IBM Comm/GTM GM, IBM Internal GM and IBM Internal AP Account team, including HR issues, Trainings and EH&S agendas

b. Internal Meetings & Events management for IBM Comm/GTM and IBM Internal team including TP, Video & Audio meeting and conferences

c. SPOC for IBM AP for managing IBM / AT&T joint Telepresence mtgs, workshop and events

d. Travel management for IBM Comm/GTM GM and IBM Internal AP Account team

e. Expense management, Invoice reconciliation for IBM Comm/GTM GM, Global Service Delivery AVP and the IBM Internal AP Managers.

f. Assist the IBM Internal AP Account team with their issues and enquiries (Admin, HR, ePro, Travel & Expenses etc)

g. SPOC to facilitate the execution/counter-execution of Australia IBM Order Letters. Track and Maintenance of OLs – Hardcopy.

h. Secondary SPOC for the IBM business contacts should primary contact be unavailable, including providing support to Partner Organisations and IBM

i. Attend the Boarding-DeBoarding shared mailbox (requests for access to IBM property(s) and network (lotus note account)

j. Maintain a database to capture training / certification. Tech training awareness for the TSA team

k. IBM Internal focal point to collect submission for recognition programs



2. Sales Support & Report

a. Support the Sales team with sales entries into the company’s global sales tool (ROME, GeCEP) as required

b. Assist and support the AP Account Executives with data changes and related issues in ROME, GeCEP as required

c. Liaise with AP Account Executives to ensure monthly sales are recorded and captured in the Sales Reports

d. Collate and consolidate weekly and monthly sales data for reports and presentations for IBM Commercial/GTM and IBM Internal

e. Review & verify Sales funnel data for weekly, monthly and trimester Sales Forecast

f. Manage the GeCEP Library, upload and distribute Exchange Rates update, AP P9 Charges, BS Mid-Month Rate, ON Pricing Model and other shared documents

g. SLIC entries to Revenue Management Tools for IBM Comm/GTM and IBM Internal

h. ROME Funnel (weekly) with SIP status and Stage duration.

i. Provide AEs with an up to date sales report extracted from ROME and GeCEP

j. Funnel Review (monthly)

A monthly funnel review process to ensure clean and up to date sales data in ROME for the Global Funnel Reporting each month

k. Outstanding SIP List (mid and end month)

l. New Sales Reporting



3. Purchasing Support

a. Manage the purchase of general office supplies for local business operations

b. P9 Cisco BOM pricing for Capital Expenditure Requests, liaise with the AP Controller for the budget and maintain an up to date log for annual report

c. Sourcing quotes, generating requisitions / purchase orders, receipting goods and invoices in the company’s purchasing system (Ariba ePro), and use of Cisco Online Ordering Tool for Cisco equipment ordering

d. Tracking orders, expediting, liaise with in-country AP team, in-country AP Buyers and Vendors to ensure delivery are meeting operational requirement and deadlines

e. Maintain a Purchase Orders database



4. Ad hoc tasks



**Key Competencies and Skills:**

1. Extensive experience in the Microsoft Office suite, AT&T admin and sales tools, processes and policies (Expenses, Travel, Capital, Training, ROME, GeCEP, etc.)

2. At least 5-10 years’ experience in PO/PR processing, administrative duties, sales support and reporting

3. Excellent written and spoken communications skills both internally at all levels and externally with customer contacts across the AP/MEA region.

4. Self-motivated, organized, attention to detail and high degree of accuracy

5. Knowledge in and experience with the activities and team requirements to support the IBM account
