Job Details


Provides seamless administrative support for three Corporate Audit Senior Directors, as well as Corporate Auditors based at various sites. Serve as administrative backup supporting VP-CA and the CA Admin team.


+ Proactively coordinates and maintains the calendar for the Senior Directors, using initiative to ensure schedule is accurate and manageable; coordinates with the Senior Directors to ensure high priority activities are scheduled to meet timing needs; professionally handles regrets when necessary and/or requested.

+ Coordinates all travel for the Senior adhering to T&;E policies. Provides international travel support to colleagues and is responsible for timely management of expense reports for Senior Directors

+ Coordinates global, regional and local meetings, multi-level/cross functional meetings, video conferencing /WebEx conferences, and teleconferences; uses meeting room scheduling systems

+ Performs administrative and operational tasks for the CA department, including running reports and performing tasks in CA's AMS system, and performing updates to the CA Website/SharePoint sites

+ Works collaboratively with the Senior Director and Management Team, Corporate Audit Leadership Team, Audit colleagues and administrative partners across client groups. Provides back up administrative support to VP-CA and the CA Admin team as needed, including assisting VP- CA in preparing and posting Audit Committee materials in the Board Vantage system and creating Board e-Books if needed

+ Screens phone calls and visitors using discretion and appropriately handles confidential information

+ Independently identifies and responds to daily issues that arise and determines appropriate actions.

+ Proposes implementation of efficiency processes and continuous improvement within own workgroup.

+ Creates agendas, schedules appointments and issues meeting minutes when appropriate or as requested for meetings and conference calls.

+ Coordinates leadership team and staff meetings.

+ Procures office supplies for all colleagues in NYO

+ Assists with colleague on-boarding/off-boarding as required.

+ Organizes and files documents

+ Maintains working understanding of telephony, meeting, and collaboration technologies


+ High School Diploma or equivalent (GED) or higher is required, Associate's degree or greater is preferred for this position.

+ Candidate should have 5 years administrative experience that demonstrates an ability to carry out all office functions proficiently and to complete quality work on a timely basis

+ Administrative experience at senior leadership level

+ Independent, pro-active, self-motivated with strong organizational skills and possess the ability to manage priorities, and handle multiple tasks with frequent, tight deadlines

+ Resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative

+ Ability to work well both in team environment as well as operate independently with minimal supervision

+ Strong knowledge and proficiency with general office software (e.g., MS Office-Word, Excel, PowerPoint, Outlook)

+ Strong knowledge of Pfizer specific tools, processes and procedures (e.g., PTE, ARIBA, WebEx, SharePoint, Box) preferred

+ Excellent communication skills with an ability to respond with professionalism in verbal as well as written communications.

+ Excellent attention to detail and follow-up skills.

+ Excellent judgment and ability to work with confidential documents and information

+ Pfizer experience or experience in a pharmaceutical setting preferred


Majority of the day is sitting and working with a computer, therefore attention to health and safety guidelines for such conditions is required
