We are currently recruiting for an Administrative Assistant to join our team in Seattle, WA

 

Administrative Positions in this function include more traditional administrative / clerical support roles including: answering the telephone, typing / word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance.  This position supports executives at the SLT level and below.

 

Primary Responsibilities: 

  • Provides high level administrative support for senior leader and team

  • Attends meetings, takes notes and organizes for senior leader

  • Will put together lunch and other events as requested

  • Assist in drafting of communications

  • Has ability to work with cross functional teams

  • Work does not usually require established procedures

  • Works independently

  • Mentors others

  • Acts as a resource for others

  • Coordinates others' activities

Required Qualifications:

  • High school diploma or equivalent

  • 5+ years of administrative support experience, at least 3 of which have included support of senior executives

  • Prior experience taking meeting notes and organizing information

  • Experience supporting multiple executives within a fast - pace and changing environment

  • Intermediate or better level of proficiency with MS Office applications, specifically Word, Excel PowerPoint,

  • Ability to manage multiple tasks / projects and deadlines simultaneously with attention to detail

  • Excellent time management and organizational skills balancing multiple priorities

  • Ability to work in a large, matrixed corporate environment

  • Proven ability to build relationships cross - functionally and lead toward common goals

  • Excellent verbal and written communication and grammatical skills 

  • Demonstrated experience in preparing senior - level presentations and reports

  • Must have a polished demeanor and be comfortable working with people at all levels

  • Experience coordinating large meetings, including WebEx virtual meetings and teleconferences, and event planning

  • Takes accountability and ownership of tasks, performance standards and quality results

  

Preferred Qualifications:

  • BA or AA

  • Experience supporting c-suite
