The Site Administrative Assistant is accountable for all day to day operations for the Site Director and Site Leadership Team. Responsibilities also include assisting to maintain positive employee relations and a positive union free work environment.

Specific functions include:

  • Executive Assistant to Site Director
  • Manage Site Director's calendar
  • Manage travel arrangements
  • Monitor, manage, and provide period explanations for Site Director's budget
  • Ensure timely processing of expenses
  • Manage and coordinate report processing
  • Schedule and coordinate meetings including site-wide All Employee meetings
  • Presentation preparation
  • Coordinate all Guest visitation arrangements, including Site Tours
  • Maintain confidentiality
  • Communicate with all employee levels
  • Demonstrate effective communication, motivation, and leadership skills.
  • Understanding and enforcement of the employee handbook.
  • Ability to work in a fast paced and changing environment.
  • Leadership capability with a demonstrated drive for accurate results.
  • Respond to inquiries from employees and managers who seek data that often requires research.
  • Perform special job tasks / projects in support of Service Center Operations Manager which requires a good working knowledge of Distribution Center and Manufacturing procedures and guides.
  • Assist in various facility functions such as company picnic, service award activities, etc.
  • Represent the Site Leadership in a professional, ethical manner.
  • Maintain a professional approach and appearance for work activities.
  • Treat facility work teams with the respect and communication clearly to insure professional working relationships.


  • High school diploma required. Associate's Degree in Business or an equivalent combination of education and experience preferred.
  • This position requires a minimum 3-5+ year's Executive Administrative experience - Beverage/Foods manufacturing or Consumer Products Sector (Household & Personal Products Industry) experience is strongly preferred.
  • The successful candidate must possess strong skills, knowledge and capability in: Finance and Accounting, Project Management, Human Relations, Communications, and Statistics/Logical Problem Solving.
  • Proven track record in driving cultural change.
  • Solid working knowledge in the following business enterprise areas is essential: demonstrated problem solving and planning skills focused on the ability to plan, prioritize and execute.
  • Demonstrated proficiency and high degree of competence with a PC in a Windows environment, Word, Excel, PowerPoint, Microsoft Access and SAP.
  • Excellent written, grammar, spelling, and proofreading skills with the expertise to generate professional correspondence, reports and presentations.
  • Must be able to speak, read, and write the English language and perform basic mathematical skills.
  • Demonstrated ability to effectively establish priorities and manage diverse tasks and simultaneously.
  • Sense of urgency to plan, organize, and adapt to rapidly changing priorities.
  • Excellent communication skills, using professional, courteous manner and good judgment in dealing with internal and external customers.
  • Proven ability to work professionally with sensitive and confidential materials and information.
  • A quick learner and confident, proactive team player.
  • Self-motivated proactive approach to work.
  • Excellent interpersonal skills and serious sense of responsibility for dealing with sensitive and confidential matters.
  • Ability to manage multiple responsibilities simultaneously often under pressure; and be flexible to changes in priority.
  • Must be able to work independently.
  • Displays a good working knowledge of executive office responsibilities and procedures for all facility personnel.
